Dear Information Governance,

Can you provide me the information that is kept on your automated files.

I am more than happy just to accept the total number of declared convictions not the offences if that is what is held on the automated system you refer to.

Yours sincerely,

John McDevitt

Dear Coventry City Council,

Dear Mr McDevitt,

Further to your email of below, we have been liaising with the service
area regarding your query.

We would apologise if there has been some confusion and it was not made
clear in our responses, as to what information is held where but hope that
the following clarifies this.

As stated in our original response, we would need to manually go through
files to obtain this information (offences committed) as it is not held in
a reportable format. In our review response we advised that Coventry City
Council does not keep detailed lists of offences as we do not need to list
or hold data in this way to make a decision to grant a licence.

Although it was stated that some information may be retained on our
automated systems, we now understand from the service area that this
related to the information provided in our original response. We have
since had clarification from the service area that criminal records data
is not retained on our automated systems and therefore it would require a
manual trawl of the individual records in order to obtain the information
being requested.

We are therefore upholding our decision to engage the Section 12 fees
notice exemption.

We trust that this now clarifies the matter.

Regards
