Information Commissioner’s Office

22nd January 2018

Case Reference Number IRQ0717844

Dear J Evans

Thank you for your email of 27 December 2017 in which you requested
information from the Information Commissioner’s Office (ICO). Your request
was handled in line with your rights under section 1 of the Freedom of
Information Act (FOIA) and our response is below.

Request

* “How you currently dispose/deal with the destruction of sensitive
data.
* How you currently dispose of items defined under the
WEEE   regulations.
* What External company you contract with (If any).
* The average costs that the disposal of these items incurs.”

Please see below our response.

Response

We have a process for securely disposing of all media used to store or
process data in line with government standards (specifically, Information
Assurance Standard No.5: Secure Sanitisation), as well as the disposal of
general IT equipment in compliance with WEEE Regulations. Disposal is
carried out by approved service providers:

* Secure Computer Centres (SCC) - secure disposal of IT media and WEEE
disposal of general IT equipment
* Euro-Recycling – secure disposal of cryptographic material
* STE Waste Management - secure disposal of paper hard copy sensitive
data.

As well has having cross-cutting shredders throughout the building for
documentation that requires immediate destruction, the ICO has a contract
with a document destruction company (STE Waste). Documentation is placed
in locked confidential waste bins throughout the office. It is then
destroyed on site under the supervision of ICO staff. The ICO budgets
£8,000 per year for document destruction.

With regard to disposal of items under the WEEE regulations, IT disposals
are handled under our contract with Specialist Computer Centres Plc (SCC).

Kit that can be recycled under the WEEE regulations are placed into what’s
termed a ‘green box’ and sent for recycling. Costs vary depending on the
box size, but an average cost is around £300-£500.

All items identified for secure disposal are handled via an onsite
service, again via SCC. Data is shredded to 6mm within a closed truck. The
cost of a secure disposal is around £1500.

Both average costs above are inclusive of VAT.

Other items which would be subject to disposal under the WEEE regulations
include electrical equipment like broken fridges and microwaves. These are
sent for recycling via STE Waste Management on an ad hoc basis.

I hope you find our response of assistance.

Yours sincerely

Iman Elmehdawy
