University wide policies and procedures

Response to this request is long overdue. By law, under all circumstances, Newcastle University should have responded by now (details). You can complain by requesting an internal review.

Dear Newcastle University,

Under the Freedom of Information Act, I would like the request information on the following:

Does the University manage all policies within a central quality or document management system?

If this is correct, what system is used for this?

Does the University have a policy to ensure that all documents are reviewed and updated regularly in accordance with changes to government legislation?

If the above policy is in place, does this policy which ensures all documents, guidelines and procedures are version controlled?

Does the university maintain records for all superseded versions of documents? If so, what is the retention policy for these? Are these superseded versions accessible and available to staff and students?

Does the University ensure that all documents cross-referencing other policies include the corresponding version number and ensure that all policies are updated to reflect changes to linked documents?

Please also provide a list of all the current and active University-wide guidelines, policies, procedures and strategies. This should include the current version number, the approval date, effective date and review date of each policies/procedures/guidelines.

Particular areas of focus are as follows:
Student admissions – including undergraduate and post-graduate
Student disciplinary procedures
Recruitment of staff – including contracts, conditions of service, probation, pay, progression and benefits
Staff disciplinary procedures including grievance
Reorganisation and redeployment
Teaching and learning
Research and research governance
Intellectual property and commercial
Data protection
IT services including information security, email use and retention
Staff support and wellbeing
Equality and Diversity – specifically regarding policies to do with LGBT, faith, religion and belief, disability, race and gender equality.
Safeguarding and DBS checks
Parents and Carers
Maternity, paternity and adoption
Dignity and respect in the workplace
Workload planning
