Details of request: Dear Dumfries and Galloway Council,
What is the procedure for companys to gain taxi contracts ie school runs? What process does it go through and what are the full requirments for a company that provides the service? How often is this contract renewed?

Response:

If DUmfries and Galloway Council receive a request from a new taxi company or one that is interested in providing school contracts the process is as follows.
? A New Supplier Request form is sent to the taxi company together with a privacy notice outlining the information the Council need to collect to enter in to a contract. E.g. Taxi operator licence, motor insurance, PVG membership, public liability insurance, employee liability insurance, driving licence, bank account details for finance.
? When all the required documentation listed in the privacy notice has been checked and verified, the new supplier request form is sent to Procurement for authorisation and the bank account details are forwarded to Finance in order to receive payment. The taxi company will then be issued with an order number for any invoices and advised that these should be submitted on a monthly basis.
? Transportation will email or post out a quotation request for any new school contracts to a minimum of three taxi companies usually based near or within the locality of the work for a costing. These will be analysed and the successful and unsuccessful bidder is then notified.
? Currently school contracts are renewed as and when required, there is no fixed term.
