Dear Ms Bird

I refer to your email of 14 August 2020 requesting that the following information be provided to you:

1. How many SARs have been made to your organisation in the last recorded 12 months?
2. Please provide a breakdown of the specific departments that these SARs relate to?
3. Is there a central response to SARs or is it devolved to the departments involved?
4. How many staff deal with responses?
5. On average how many hours are spent dealing with a SAR?
6. Do you have any software to assist with SAR production?

I can confirm that the Council holds some of the information that you are requesting.

However, some of the information is covered by an exemption or exemptions contained with the Act and the explanation for this is detailed in the attached refusal notice.

The information which you have requested and which is not covered by any exemptions is set out below.

1. How many SARs have been made to your organisation in the last recorded 12 months?

Response: 92 over the 12 month period to 14 August 2020

2. Please provide a breakdown of the specific departments that these SARs relate to? Organisation Development, Corporate Policy & Communications - 6;
HSCP - 43;
Legal & Property Services - 25 (3 of which are corporate);
Education - 4;
Finance - 7;
Community Learning & Development - 1;
Environment & Public Protection - 6.

3. Is there a central response to SARs or is it devolved to the departments involved?

Response: SARs is devolved to the departments to provide responses direct to requestors. For requests where more than one Service is required to provide input to a SAR, the Service's will provide these responses to an Officer within the Information Governance team who will collate and prepare a Corporate response to the SAR.

4. How many staff deal with responses?

Response: one officer deals with corporate responses on behalf of the Council and as per question 3 dependant on the nature of requests staff across Service will respond to SARs direct due to the devolved nature of the process. We have sixteen service areas who could be expected to respond to an SAR.

5. On average how many hours are spent dealing with a SAR? - Information not held.

6. Do you have any software to assist with SAR production? - No

If you are dissatisfied with the way in which the Council has dealt with your request you are entitled to require the Council to review its decision. A copy of the Council’s review procedure is attached.

Further information on how the Council processes your information can be found at https://www.inverclyde.gov.uk/privacy - the Freedom of Information and Environmental Information Request Privacy Notice explains this in more detail.

Yours sincerely

Carol
