Staff absence - final clarity

The request was successful.

Dear Doncaster College,

Very quick reply. Thanks.

Sorry to make another request but think this is the only way to ask further questions regarding this site. Seeking final clarity on the information requested.

1. Thanks for explaining Bradford score. Can you explain what the trigger points are for action to be taken and is this done using CIPHR?

2. Why are some absences described as short term absence and not classified on the Bradford score scale?

3. I understand you have asked for more information on adding the staff departments to each of these absences. Thanks

4. There appears to be a lot of information missing on the spreadsheet sent. I asked for period March 2017 to March 2019. Can you also add the rest of the missing information.

This should satisfy my queries completely and I thank you in advance for your help and diligence.

Yours faithfully,

Tim R

Hello

Please find attached additional information as provided by the HR department. Apologies for the delay;

1. Thanks for explaining Bradford score. Can you explain what the trigger points are for action to be taken and is this done using CIPHR?

Where an employee’s absence reaches one or more of the following trigger points, the manager will take action following the procedure set out below: we do not use CIPHR, we use an alternative way of tracking trigger points.

• 51 points – Informal Absence Review Meeting.

• 101 points – Stage 1: Formal Absence Review Meeting – Verbal warning

• 201 points – Stage 2: Formal Absence Review Meeting – Written warning

• 401 points – Stage 3: Formal Absence Review Meeting – Final warning

• 601 points – Formal Absence Review Meeting – Dismissal

2. Why are some absences described as short term absence and not classified on the Bradford score scale? Short term absences are those up to 4 weeks, but the Bradford factor score applies to all absences.

3. I understand you have asked for more information on adding the staff departments to each of these absences. Please see attached, added the departments for each review.

4. There appears to be a lot of information missing on the spreadsheet sent. I asked for period March 2017 to March 2019. Can you also add the rest of the missing information. Added the reviews from March 2017 - March 2019.

Dear Terry Hutchinson,
Apologies for this Terry, appreciate it is probably not down to yourself, but information Irequested is still missing.
The spread sheet only covers from March 2017 to around May 18 on one page and September 18 on the other page. I was hoping for an up to date reply, my original request did say March 2017 to March 2019.

Your reply was really prompt and I appreciate that. Again, apologies for having to ask for that final, complete response.

Yours sincerely,

Tim R

Hi Tim

Further to this, the HR person who is dealing with this is now not back until Wednesday next week. She may be able to return the data directly to you when she is back, otherwise it will need to wait for my return to work on 29th April (as I am on leave next week).

Kid Regards

Terry

Dear Terry Hutchinson,

Thank you Terry. Most of what I asked for has been covered. Just need the period May 18 till and including March 19. With departments. Then the request will be complete and finished.

Dear Doncaster College,

Please pass this on to the person who conducts Freedom of Information reviews.

I am writing to request an internal review of Doncaster College's handling of my FOI request 'Staff absence - final clarity'.

I have asked now on three different occasions for the information of staff absence between the periods on May 2017 till and including March 2018. Whilst I received some of the information, late, I still have not received all of it.
On the final occasion one episode for May and one episode for March were added to the original information that was sent. It is quite clear the information that I have requested and now ask that I get the full information as soon as possible please.

A list of staff absences, departments and outcomes between March 2017 to present day please.

Thank you

Tim

A full history of my FOI request and all correspondence is available on the Internet at this address: https://www.whatdotheyknow.com/request/s...

Martin Rooney, Doncaster College

Hi Tim,

I am sorry re your recent experience re the request for data.
Unfortunately my annual leave compromised us in terms of responding in a
timely manner. Please accept my apologies.

I can see from your original request in March and more recent e-mails that
you have mentioned a variety of time periods ie from March and May 2017 to
March 2018/ 2019 and to present day. The last response does indeed include
all the information you requested up to March 2019. If you have any
further queries or enquiries I would be happy to discuss with you directly
in order to ensure we have full clarity on the time period.

We have effectively de-personalised a ‘sensitive’ working document we use
to collate and report this information which as you can see is very
detailed.

Please do call me if you require anything further or let me have a contact
number and I will call you.

Regards

Martin

Dear Martin Rooney,

Thanks for getting back to me. The dates changed as it was supposed to be an up to date record of absences but as the time for replying kept getting delayed it then pulled in March/April.

Apologies if that is all the data. It just seemed there was an unusual gap without any absences over a period of 5 or 6 months, when there were a lot of absences before that. It had a feel of a rushed effort to satisfy the request in the time allotted

Yours sincerely,

Tim R
