Finance system:
• Who is your current provider?
• When does the contract expire, and do you have extension options?
• What is the value of the contract?
• What modules do you use e.g. general ledger?
• What is your budget?
• When did the contract start?
Procurement system:
• Who is your current provider?
• When does the contract expire, and do you have extension options?
• What is the value of the contract?
• What is your budget?
• When did the contract start?
Invoicing:
• Do you have an electronic invoicing system in place?
• If so, who is the current service provider of this system?
• when does this contract expire and is there extension options?
• What is the value of the contract?
• What is your annual paper usage?

I am writing regarding your request for information, which I received on 1
August. In that request, you asked for information about our software
systems.

 

Having conferred with colleagues, I should be grateful if you would
clarify what you mean by "procurement system" (for example, do you mean
purchase to pay system or tendering system or some other system?) and
"invoicing system" (for example, do you mean our sales ledger invoices
(i.e. that we send out to customers) or purchase ledger invoice processing
/ invoice factor company?).

 

As you will be aware, the current deadline for the Gallery’s response is
29 August and I will now pause the clock until I have received
clarification from you on this matter.

Thank you for your response. I hope you're well.

'Procurement system' refers to software system that manages all procurement related activities. A purchase to pay system is a good example of procurement software.

'Invoice system' refers to any software system that assists in managing invoice related activities. For example, it is popular to send invoices via email.
