I would like to ask

Q1. Do you look after your own IT or is it outsourced?
Q2. How much did you pay in last financial year for software licenses?
Q3. How many computers users do you have?
Q4. When do you need to renew the contract with Microsoft for software licenses? What was the value of your last contract?
Q5. Do you currently measure software usage versus the number of licenses purchased? If so what is used for software usage metering?
Q6. Do you use a software asset management tool?
Q7. Please also provide details of IT Contracts Managers and any person(s) involved in IT Software procurement.

We are now in a position to respond to your request for information dated
7 April 2015.
 
We have dealt with your request in accordance with your ‘right to know’
under section 1(1) of the Freedom of Information Act 2000 (FOIA), which
entitles you to be provided with a copy of any information ‘held’ by a
public authority, unless an appropriate exemption applies.

In your e-mail you asked:

Information Held
 
Please find the answers to your questions below:

Q1. Much of the support of the ICO’s IT is outsourced under a number of
managed service and support contracts. The ICO undertakes configuration of
a number of applications.

Q2. £333,601.20.

Q3. Around 420.

Q4. The current enterprise agreement started 1 July 2014 for 3 years.
Figures are not available for the whole of the previous contract. The
licensing cost for the first year of the current enterprise agreement from
1 July 2014, including an early trueup to 30 June 2015, is £184,924.11.

Q5. We do not measure this.

Q6. No

We also have an Assets and Licensing Officer who is involved in
procurement or purchasing of licenses. The name of this employee has been
withheld as they are a junior employee in a non-public facing role.  
This is in line with our policy on Disclosure of ICO Employee Information.

This personal information is exempt from disclosure to you under section
40(2) of the Freedom of Information Act 2000 as to provide it to you would
contravene the Data Protection Act 1998.

Review Procedure
 
I hope this provides you with the information you require.  However, if

our decision or make a complaint about how your request has been handled

Your request for internal review should be submitted to us within 40
working days of receipt by you of this response.  Any such request
received after this time will only be considered at the discretion of the
Commissioner.
 
If having exhausted the review process you are not content that your
request or review has been dealt with correctly, you have a further right
of appeal to this office in our capacity as the statutory complaint
handler under the legislation.  To make such an application, please write
to our Customer Contact Team at the address given or visit our website if
you wish to make a complaint under either the Freedom of Information Act
or Environmental Information Regulations.
