Please could you provide me with the following information;

Do you have any written guidelines or procedures for your staff in relation to returning original documents and passports for visa applicants?
If so, please could you provide me with a copy of the same.

With regard to returning documents and passports by the UKVI;

Do Royal Mail tracking numbers for signed for and recorded delivery items get allocated by the UKVI or by a Royal Mail branch itself?
To clarify - does Royal Mail provide the UKVI with tracking numbers to use at their discretion, or do employees of Royal Mail allocate tracking numbers to each and every piece of correspondence sent out by UKVI?

Stating exactiy which file document/s referred to which process, if more than one process exists.

....Not asked you to make a choice, as no Section 16 R9 guidance was provided to assist you in your choice.

I would like to know how Royal Mail tracking numbers are allocated to correspondence going out from the UKVI and who allocates the tracking numbers.
What are your procedures for posting tracked items with Royal Mail.

So now we know that when the Home Office claimed that they had sent my son's passport out recorded delivery - and there is no record of it - it was in fact the caseworker that lost it and not Royal Mail. Luckily we found information confirming this in a Subject Access Request, but I feel sorry for all the people that the Home Office simply say 'take it up with Royal Mail' to - which is what they attempted to do with us.
