Dear Forth Valley NHS Board,

Do you still store hard-copy medical records onsite?
- If so, how many do you store (i.e. number of patients’ records)?
- How many locations do you store them in?
- Are locations owned by the Board or leased? Please specify the status per location.
- Do you store any records offsite with a third-party provider?
If yes, when does the contract expire?
If yes, what proportion of your records do you store with them?
- How many FTEs are employed to manage the records?
- Is there an annual budget for the records management function? If so, what is it?
- Who within the organisation is the executive sponsor for records management / who has ultimate responsibility for the function?

Dear Ms  McKnight

Thank you for your email requesting information about hard copy medical
records stored onsite from NHS Forth Valley.   Your request has been
logged under the reference FOI0007547 and will be handled in accordance
with relevant access to information legislation (i.e. the Freedom of
Information (Scotland) Act 2002, or the Environmental Information
(Scotland) Regulations 2004 as appropriate).

 

We will process your request as soon as possible, however, under the
legislation we have 20 working days in which to respond to your request. 
Consequently, you can expect to receive a reply on or before 2^nd August
2023.  If, for any reason, we are unable to respond to you on time, we

I am sorry that we have been unable to respond to your request within the
usual timescales. This is because we have seen a significant increase in
the number and complexity of FOI requests received over the last year. 

As it has been some time since you made your request, we wanted to check
if you still required this information. If so, we will endeavour to get a
response to you as quickly as possible.  However, if you no longer require
this information, please let us know and we will close your request. 

I would also like to remind you that, as we did not meet the statutory
timescales for response, you are entitled to request a review and if this
is something you would like to pursue, please let me know. 

I apologise again for the delay in responding to your request and we would
be grateful if you could advise us on how you would like us to manage your
