Freedom of Information request - Software Systems
1. What Software Systems are currently used by the Council (please identify each system if more than one is used) for:
• Programme and / or Project management?
• Risk Management recording and reporting
• Performance Management reporting
• Freedom of Information recording and tracking
2. When do the contracts expire for each software system used?
3. Do you have any planned changes or upgrades of the software currently used? If so, when?
4. How much does each system cost including both the initial licence fee and the annual charge?
5. If you do not have a system how are programmes and projects managed currently?
6. How (which procurement route or framework) was the contract initially tendered and when was this tender awarded?
7. If no software or tendered contract is in place currently are you considering tendering or purchasing further software within the next 12 months? If so which procurement route or framework would you be using?
8. How many users / licenses for each system have you purchased for each system?
9. Who is the person responsible for the identified Software Systems? Please provide full name, title and contact information if possible.

I am writing regarding your Freedom of Information request received by the
department on the 2 January 2019
The Freedom of Information Act enables access to information held by the
Council, subject to the exemptions contained within the Act. The Act does
not require the Council to create information to respond to a request if
the requested information is not held, nor to give an opinion or comment.
Please find our response to your Freedom of Information request below:
1. What Software Systems are currently used by the Council (please
identify each system if more than one is used) for:
•Programme and / or Project management?- Pentana
•Risk Management recording and reporting - None
•Performance Management reporting - Pentana
•Freedom of Information recording and tracking - Caseworks
2. When do the contracts expire for each software system used?
Pentana - 31st December 2019
Caseworks - 31st March 2019
3. Do you have any planned changes or upgrades of the software currently
used? If so, when? - We do not have any planned changes or upgrades of the
software at this present time.
4. How much does each system cost including both the initial licence fee
and the annual charge?
Pentana - £5504.70 plus VAT
Caseworks - £5,000 plus VAT
5. If you do not have a system how are programmes and projects managed
currently? Not Applicable
6. How (which procurement route or framework) was the contract initially
tendered and when was this tender awarded?
Pentana - Procurement route
Caseworks - Procurement route
7. If no software or tendered contract is in place currently are you
considering tendering or purchasing further software within the next 12
months? If so which procurement route or framework would you be using?
In respect of the Risk Management Recording and Reporting, we are
considering tendering or purchasing software in the next 12 months but a
decision has not yet been made as to whether this would be carried out
using a procurement route or framework.
8. How many users / licenses for each system have you purchased for each
system?
Pentana - Unlimited users as we hold a site licence
Caseworks - Unlimited users as we hold a site licence
9. Who is the person responsible for the identified Software Systems?
