1. What Software Systems are currently used by the Council (please identify each system if more than one is used) for:
• Programme and / or Project management?
• Risk Management recording and reporting
• Performance Management reporting
• Freedom of Information recording and tracking
2. When do the contracts expire for each software system used?
3. Do you have any planned changes or upgrades of the software currently used? If so, when?
4. How much does each system cost including both the initial licence fee and the annual charge?
5. If you do not have a system how are programmes and projects managed currently?
6. How (which procurement route or framework) was the contract initially tendered and when was this tender awarded?
7. If no software or tendered contract is in place currently are you considering tendering or purchasing further software within the next 12 months? If so which procurement route or framework would you be using?
8. How many users / licenses for each system have you purchased for each system?

1. What Software Systems are currently used by the Council (please identify each system if more than one is used) for:
• Programme and / or Project management? - Microsoft Project
• Risk Management recording and reporting - Excel
• Performance Management reporting - No specific system.
• Freedom of Information recording and tracking - Sharepoint
2. When do the contracts expire for each software system used?
All of the software above are perpetual licences so there is no contract expiry date with the exception of Sharepoint servers where the current Software Assurance which runs out on the 30th June 2019.
3. Do you have any planned changes or upgrades of the software currently used? If so, when?
There are no current changes or upgrades planned.
4. How much does each system cost including both the initial licence fee and the annual charge?
Microsoft Project - There is no current annual fee for this software, licences for Microsoft project are purchased as and when required so every licence has a different cost dependant on when it was purchased. The cost of the most recent licence purchased was £384.81.
Excel - There is no current annual fee for this software, the individual costs for excel cannot be provided as this was part of the Office Professional Suite and no breakdown of the excel element is available.
Sharepoint - There is a current annual cost of £4,141.37 for software assurance on the Council's Sharepoint servers, the original purchase cost for the Council's Sharepoint estate was £79,521.45. CALS for Sharepoint were purchased through the Microsoft core CAL suite and so prices for just the Sharepoint element cannot be provided, there is no current annual cost for this element.

Contracts for the Councils Microsoft Agreements were tendered through Crown Commercial Services, The Council tenders for it's Microsoft contract every 3 years.
7. If no software or tendered contract is in place currently are you considering tendering or purchasing further software within the next 12 months? If so which procurement route or framework would you be using?
8. How many users / licenses for each system have you purchased for each system?
The Council is licenced for 2402 devices for Sharepoint and Excel. For Project the Council has 289 licences from 98 to 2016.
