3.     Length of contract/s and end dates? 4 year contract from 01/03/2016
to 29/09/2020.

4.     Number of devices?

a.     Photocopiers/MFDs 27 photocopiers/printers

b.    Printers  2 printers

c.     Print room / reprographics 1 Large print room printer.

5.     Annual print/copy volume. 2.7 million pages total.

6.     Annual spend? The spend (invoice value) in the last calendar year
has been of 115092.65 however it is not possible to split by type.

7.     Details on how these were procured. i.e. By Framework

a.     Procurement method – Following a pre-engagement exercise with
suppliers on Crown Commercial Services (CCS) RM1599 “Multifunctional
Devices and Services, Managed Print Services and Print Audit Services”
(LOT 2 - Full catalogue offering of multifunctional devices and services,
including print room services or Lot 3 – Managed Print Services), a direct
award was the chosen procurement route due to the value offered by the
technical solution.

b.    If Framework, please state which one - RM1599 “Multifunctional
Devices and Services, Managed Print Services and Print Audit Services”
(LOT 2 - Full catalogue offering of multifunctional devices and services,
including print room services).

8.     Do you have any print management software? If so, which software?
We have eCopy and Uniflow.  

9.     Do they supply you with any scanning software (additional to the
software native to the device)? Yes, they supply eCopy software.

10.  What Document Management solution/s do you currently use within your
organization? We use Microsoft SharePoint.

11.  What PDF software do you pay for? And how many licenses do you pay
for (an average per annum would be a good number here please)? We pay for
20 licences of Adobe Acrobat.

12.  What is the name of the person within your organization responsible
for the  MFDs and the contract, what is their title, and their email
address please? Paul Beckley, Head of ICT. [1][email address]

13.  How do you procure your print consumables/supplies? Part of the Canon
contract or Banner Business Services (our contracted Stationery supplier).

14.  What is the annual spend on print consumables? The spend for printers
not covered under the Canon contract is £800 per year.

15.   Do you use a framework to procure consumables? Part of the Canon
contract or Banner contract.

If you have a complaint about the way in which your request for
information has been dealt with you should write to Tim Martin, Head of
Governance at the address below. He will undertake a full re-evaluation of
your case.

 

If, following review of the matter by the Head of Governance, you remain
dissatisfied with the handling of your request you have the right under
section 50 of the Freedom of Information Act 2000 to apply directly to the
