Thank you for your request for information, which was received on 12
November 2019. You requested:

I understand that you were asked to ensure that  information of relevance
to  IICSA  was retained.

Please provide/ answer the following

1. Please provide a copy of the letter from IICSA that asked you to do
this.

2. Please release any correspondence between DfE and IICSA that relate to
this request.

3. How does DfE define 'relevant'?

4. How many files have been retained beyond the usual retention period
due to this policy?

5. How much has this cost the department?

I have dealt with your request under the Freedom of Information Act 2000.

I am pleased to release to you, information contained within this letter
and, in PDF format, documents that fall in scope of your request. I will
answer your questions in the order you have numbered them above.

Question 1

Please find attached a copy of the letter (Document 1) from the
Independent Inquiry into Child Sexual Abuse (IICSA) to the Civil Services
departments.

This document is already in the public domain, which can be accessed on
this link
[1]https://www.iicsa.org.uk/news/chair-of-t...

Question 2

Please find attached a single letter (Document 2), sent from the
Department for Education (DfE) to IICSA in relation to destroying boxes. A
reply was not received from IICSA and there has been no further
communication in relation to this request.

Question 3

Please see Appendix 1, attached to the letter as described in question 1.
DfE do not hold any further documentation on defining the term relevant.

Question 4

The volumes of individual paper files that have been retained for longer
than this usual retention period is 27,649. These were due to be destroyed
at varying points after they would have been reviewed to establish if they
required permanent preservation at the National Archives.

Question 5

The volumes have been retained at different periods longer than their
usual retention. Also, DfE changed their Records Management Supplier,
therefore the costs have been worked out for the timings the files were
with the different providers. The total cost for retaining these longer
than their usual retention period is £5,029.99.
