1) please can you send me a copy of the current subject access request acknowledgment AND response letter that you use
2) a copy of the last 5 dpias completed
3) a copy of any internal mandatory information governance training that you give to staff which was written in the last 2 years including presentation slides and videos and any other media
4) a copy of any instructions given to staff members to reduce data security breaches, for example double checking work which was written in the last 5 years
5) a copy of any policies implemented in the last 2 years within the organisation to help reduce the environmental impact that the organisation has?

Thank you for your Freedom of Information request received 20 December

in which you requested the following information:

"1) please can you send me a copy of the current subject access request

I note that you have sent this request several times to different research
councils. Please note that as of April 2018 all research councils,
Innovate UK and Research England joined to form UK Research and Innovation
(UKRI). As such, these requests will be combined into one case and
answered from UKRI.

However, to provide the information requested would require significant
staff time in identifying, locating, retrieving and extracting the
information. As it stands the request will exceed the cost limit set out
in the Freedom of Information Act.

As such we suggest that the request is narrowed down to provide
information from April 2018 to present.

Currently to respond to the request, UKRI would have to invoke section 12
of the Act (exemption where cost of compliance exceeds appropriate limit)
and refuse your request.

We also require clarification on question 1 and question 2 of your
request.

Question 1 - Please can you confirm whether you are requesting any
response and acknowledgment templates held by UKRI for a subject access
request or responses sent to individuals?

Question 2 - UKRI undertakes an initial assessment of new systems and
processes to evaluate the level of risk attached to them. Whilst this
initial assessment is referred to internally as being a "DPIA" it is not a
full assessment as viewed by the legislation which states that a DPIA is
mandatory for all high risk processing activities, which we undertake if
the initial assessment indicates that we should. Therefore please clarify
whether you are requesting copies of the last five risk assessments, or
the last five full DPIAs.

On receipt of your response we will review your request and confirm that
we are able to proceed with collating the relevant information.

Your case is currently on hold and will not be progressed until we receive
your response. However, if no response is received by 06 February 2020,
your case will be closed. If after this date the information is still
required you will need to submit a new request.
