please be advised that after liaising with the relevant Services, it can
be confirmed that Tendring District Council’s Planning Service does not
record telephone logs. Therefore, I must inform you that the information
you have requested is not held.

Dear Tendring District Council,

I am writing to request an internal review of Tendring District Council's handling of my FOI request 'Planning phone logs October November 2019'.

The reply to my original request claimed that no logs are recorded by planning. While on the face of it this is true, it is not correct that the authority does not record such data because your IT department does in fact record such logs - a requirement by law.

I request that these are released in compliance with the FOIA.

I believe TDC use Microsoft Lync software as a key element of their telephony infrastructure. Logs will not be maintained by the Planning Department - that is an absurd suggestion - they will on Microsoft servers either in-house or in "the cloud".

I think TDC's I.T department need to provide a very detailed explanation of why such logs cannot be located.

Dear Mr Mooney,

 

Thank you for your request for information regarding Planning phone logs
for the months of October and November 2019, which was received on
03/03/2020. I would like to apologise for the delay in replying to you,
with the current pandemic we have had to prioritise our emergency planning
response within every department which has meant we have had to
redistribute our resources.

Please be advised that this was not dealt with as an internal review as it
was felt that the information request was not interpreted correctly in the
first instance. After further liaising with the Council’s IT Service, it
can be confirmed that the Council does keep some phone logs. The
information is held in the Skype and Microsoft Teams database and is
retained for a limited period only. Skype backups are retained for one
month and Teams retention is 30 days, therefore the Council is unable to
go back as far as October last year, and as such the information you have
requested is not held.
