Office Productivity Suites

Stephen Booth made this Freedom of Information request to Solihull Metropolitan Borough Council

The request was partially successful.

From: Stephen Booth

13 October 2010

Dear Solihull Borough Council,

pursuant to the Freedom Of Information Act please supply the
following information:

1 The names and versions of any Office Productivity Suites (e.g.
Microsoft Office, OpenOffice, Lotus Symphony &c) used/installed in
whole or in part (so where only one product from a suite is
installed that counts as does where an entire suite is installed
but only one product is used) within the council and any bodies or
individuals to whom the council provide IT service, equipment or
support.

2 For each suite the cost per installation. Where the cost is made
up of multiple multiple (e.g. initial license fee plus annual
support) please show this break down if possible. If it is not
possible to show the break down please just note that the cost is
made up of multiple elements.

3 For each suite the number of installations in the council and any
bodies or individuals to whom the council provide IT service,
equipment or support. Again where only part of a suite is installed
or the whole suite is installed but only part is used please count
this as an installation of the suite.

The preferred format for this information would be a list in an
email for item 1 and a spreadsheet that can be opened with
Microsoft Excel 2003 and/or OpenOffice 3.1 for parts 2 and 3.

Yours faithfully,

Stephen Booth

Dear Mr Booth

Freedom of Information request - Ref No 2344

I am writing further to your request for information, which we received on
10 November 2010.

You asked for the following details.

1. The names and versions of any Office Productivity Suites (e.g.
Microsoft Office, Open Office, Lotus Symphony etc) used/installed in whole
or in part (so where only one product from a suite is installed that
counts as does where an entire suite is installed but only one product is
used) within the council and any bodies or individuals to whom the council
provide IT service, equipment or support.

2. For each suite the cost per installation. Where the cost is made up of
multiples (e.g. initial license fee plus annual support) please show this
break down if possible. If it is not possible to show the break down
please just note that the cost is made up of multiple elements.

3. For each suite the number of installations in the council and any
bodies or individuals to whom the council provide IT service, equipment or
support. Again where only part of a suite is installed or the whole suite
is installed but only part is used please count this as an installation of
the suite.

We are able to provide the names and versions of software, quantities
purchased and some unit prices. Please see the attached spreadsheet. To
provide the remainder of the information about costs will take a
considerable amount of time manually checking records going back over ten
years. This could exceed the appropriate limit for the time to be spent
looking for information for Freedom of Information requests of 18 hours,
which is a limit set by government. This would mean that we would have to
refuse the rest of your request. However we do not want to do this. We
want to ensure that we provide you with as much information as we are able
to. It may help if you contact us to discuss the matter so that we can
clear about what can and cannot be provided within the scope of the Act.
Please contact Susan Young, IT Support Officer (Procurement), telephone
0121 704 8034, email [1][email address] about this.

I hope that the information that we have provided is to your
satisfaction. You are free to use any information supplied for your own
use, including for non-commercial research purposes. The information may
also be used for the purposes of news reporting. However, any other type
of re-use, for example, by publishing the information or issuing copies to
the public will require the permission of the copyright owner. For
information on how to apply for permission where the copyright is owned by
the Council please refer to the Council's website
[2]http://www.solihull.gov.uk/democracy/pub.... For
information where the copyright is owned by another person or
organisation, you must apply to the copyright owner to obtain their
permission.

If you are unhappy with the service that you have received in relation to
your request and wish to make a complaint or request a review of our
decision you should write to Andrew Shipway, Corporate Information
Governance Manager, PO Box 18, Council House, Solihull, West Midlands B91
9QS or email [3][Solihull Borough Council request email] by 28 November 2010. Further
details of the Complaints and Appeals procedure are available on the
Council's website at this link:
[4]http://www.solihull.gov.uk/democracy/acc....

If you are not content with the outcome of your review or complaint, you
may apply directly to the Information Commissioner's Office (ICO) for a
decision. Generally the ICO cannot make a decision until you have
exhausted the complaints procedure provided by the Council. The
Information Commissioner can be contacted at Wycliffe House, Water Lane,
Wilmslow, Cheshire, SK9 5AF, telephone: 01625 545 700, website:
[5]http://www.ico.gov.uk.

Should you have any further questions please do not hesitate to contact
me.

Yours sincerely
