RE – Freedom of Information Request – Reference – FOI/1761

Dear Bert de Boer,

Thank you for your request for information regarding Number of issues
reported which we received on 12/02/18.

This has been logged as a Freedom of Information Request, and will be
dealt with under the Freedom of Information Act.  The reference number for
your request can be found above.

Before we can begin to process your Freedom of Information Request, we
would like to clarify what information you require.

Further to your request can you please clarify the specific source of
information you are hoping to obtain. The Council does have a customer
services function which will be able to provide some details in regard to
the number of contacts received in the calendar year; however this will be
limited in respect to the coding of “issues” and the reporting options
available.

It is possible that this would not detail the final outcome of the
enquiries received as these are passed to relevant service areas to
action. As a result we may not be able to provide the full range of
information requested as the cross-matching of enquiries received and
responded to would exceed the cost threshold for dealing with FOI requests
under Section 12 of the Act.

This is an initial clarification and we may need to come back to you at a
later date if we need to re-clarify any elements of the information you’ve
requested when we are locating the relevant data. We do ask individuals to
be specific in regard to the information they wish to obtain to allow
appropriate assessment and processing of their request which is completed
at public expense.

The Freedom of Information Act states that we must respond to a Freedom of
Information request within 20 working days, however, the 20 working days
do not include any time spent clarifying a request.  Therefore, once we
have received your clarification, we can continue processing your request
within this time frame.

You can provide your clarification by writing to the address above,
emailing [1][Sheffield City Council request email] or by telephoning 0114 2734567 and asking
for the Information and Knowledge Management Team.

We look forward to hearing from you.

Dear Sheffield City Council,

Hearby some follow-up clarrification:

I would like to see the amount of issues that are reported by e-mail/phone and online forms.

The number of issues that are "solved", "currently under maintenance" and the amount of issues that are thrown away/declined in the year 2017.

At last I would like to know if these issues are handled manually by the authority or that it is an automatic system/proces.

I hope this provides you with sufficient information!

Yours faithfully,

Bert de Boer
