New Case Management System - Type of Management Information Used

The request was partially successful.

Dear Information Commissioner's Office,

In July 2020 I was notified by the ICO that it had moved to a new case management system. I believe the information about ‘old cases’ has not been migrated to the system (understandably).

It is reasonable to assume that the new case management system provides management information (“MI”) that is used by the ICO management team to measure the progress and performance of cases (FOIA and Data Protection).

RFI1: Please disclose the type of MI provided by the new case management system that is used by the ICO management team to measure case progress and performance.

Please note that this is not a request for the actual MI pertaining to each individual case.

If you have any questions or require and further information about this request, please contact me.

Yours faithfully,

John Slater

ICO Casework, Information Commissioner's Office

22 July 2021

Our reference: IC-116319-L2Q1
Dear John Slater,

Further to our acknowledgement of 7 July we can now response to your
request for information of the same date.

As you know we have dealt with your request in accordance with your 'right
to know' under section 1(1) of the Freedom of Information Act 2000 (FOIA).

Your Request

In your email you asked:

"Please disclose the type of MI provided by the new case management system
that is used by the ICO management team to measure case progress and
performance."

Our Response

We were not sure what format of information you were looking for but I
passed your request onto our Operations Service Delivery team, who produce
our reports, and can confirm the following:

The MI is broadly similar to the Previous information supplied with CMEH,
ICE mainly gives more granular detail about cases for example in the
breach reports of PDB cases and the decision report of complaint cases.

The main MI produced is around receipts, decisions and caseload, there is
also information provided about Outcomes and the reason for complaint.

We also include information in relation to time to make initial decision
and % of cases over 12 months, there is also information about reviews
etc.

A typical MI report on, say, data protection complaints casework received
or completed, would include the following information:

Status
Legislation
Case Reference
Queue
Date Received
Received by  FY Year
Received by Quarter
Received by Month
Received by Financial Week
Received by ICO Yesterday
Case Completed [same breakdown as Received]

This concludes our response.

I hope you find this information helpful.

Review Procedure
I hope this provides you with the information you require. However, if you
