1. What services are included in the contract(s)? (e.g. printing vs scanning etc)
2. Which supplier is delivering them? (If in-house, please confirm or if multiple provider please identify them)
3. How many contracts does this entail and what's the award value for each?
4. When do these contracts expire and do they have any extensions?
5. What is the annual volumetric data (split by Annual Mono and Annual Colour print)?
6. What is the total number of devices supplied?
7. What Managed Print Service software solution do you use?
8. How many Mono MFDs and Colour MFDs do you have?
9. What document management solution do you use?
10. What High Volume printing devices do you use?
11. Were any framework agreements used to procure the goods/services? If so, which ones?

I can advise you that we have now completed the search of our records and
can provide you with the following information:
1. What services are included in the contract(s)? (e.g. printing vs
scanning etc)
Supply, delivery and collection of Multi-Functional Devices, Consumables
including toner, developer and staples, excluding paper, Software and
associated Services in terms of installation, connection to the network,
product training, service, maintenance and repair including replacement
parts, maintenance and software / firmware upgrades, on-site and remote
technical support.
2. Which supplier is delivering them? (If in-house, please confirm or
if multiple provider please identify them)
Ricoh.
3. How many contracts does this entail and what's the award value for
each?
This is an NHS Scotland national contract that all Health Boards in
Scotland call off from; the National Services Scotland MFD volume is shown
below. Total annual value of the NHSS contract is approx.£3.8m.
4. When do these contracts expire and do they have any extensions?
The NHSS contract expires 30^th Sept 2023 with no further extensions.
5. What is the annual volumetric data (split by Annual Mono and Annual
Colour print)?
Annual Mono Print = 5,435,024, Annual Colour Print = 2,211,432.
6. What is the total number of devices supplied?
94 MFD’s.
7. What Managed Print Service software solution do you use?
Equitrac Follow You Software.
8. How many Mono MFDs and Colour MFDs do you have?
37 Mono MFD’s & 57 Colour MFD’s.
9. What document management solution do you use?
Equitrac Follow You Software.
10. What High Volume printing devices do you use?
No high volume Production Print machines used, highest volume machines are
IM C5500, MP 5055SP, MP C6003SP all from NHS Scotland contract.
11. Were any framework agreements used to procure the goods/services? If
so, which ones?
The NHSS national contract was awarded following a further competition
from the Scottish Procurement CAT A framework for Multi Functional
Devices.
12. Any documentation you can provide me with, e.g. the order form
No order form or other relevant.
13. What department is managing the contract and who's the
decision-maker?
National Procurement manage the national contract and each Health Board
locally then decide call offs and manage accordingly.
14. How many Adobe Acrobat (standard, and reader) licenses do you
have?
· Adobe Acrobat standard - 56
· Adobe Acrobat professional - 140
· Adobe Acrobat reader 4606
15. What is the annual cost?
£30,123.74
16. When is the renewal date?
19/01/2023
17. Who is responsible for the contract?
SoftCat.
18. Do you use any other PDF editing tools?
Adobe creative suite.
