Your FOI request dated 12 September, 2022 and sportscotland’s response,
are detailed below.

I would like to make a request for the following information relating to
the authority's current Multi-Functional Devices and printing/scanning
services contract(s)

1. What services are included in the contract(s)? (e.g. printing vs
scanning etc)
• Copy, print, scan, scan to email and secure print.

2. Which supplier is delivering them? (If in-house, please confirm or if
multiple provider please identify them)
• Xerox

3. How many contracts does this entail and what's the award value for
each?
• Single contract - 4 Year lease. This information is otherwise accessible
via the sportscotland website, so is otherwise accessible in accordance
with section 25(3) of the Freedom of Information (Scotland) Act 2002. For
ease on this occasion, I can confirm that it is £73,251 plus usage.

4. When do these contracts expire and do they have any extensions?
• 1st March 2025

5. What is the annual volumetric data (split by Annual Mono and Annual
Colour print)?
• Mono 62, 489 / Colour 117, 705

6. What is the total number of devices supplied?
• 17

7. What Managed Print Service software solution do you use?
• We do not use Managed Print Software solutions

8. How many Mono MFDs and Colour MFDs do you have?
• 0 Mono / 17 Colour

9. What document management solution do you use?
• MS SharePoint

10. What High Volume printing devices do you use?
• We do not have any high capacity units

11. Were any framework agreements used to procure the goods/services? If
so, which ones?
• Crown Commercial Service - Framework Agreement: RM3781 LOT 2

12. Any documentation you can provide me with, e.g. the order form
• Having discussed with the contractor, it has been decided that the order
form is exempt from disclosure in accordance with section 33(1)(b) of the
Freedom of Information (Scotland) Act 2002 (commercial interests and the
economy). This is because disclosure would prejudice substantially the
commercial interests of the contractor, specifically commercial trading
activity undertaken in a competitive environment. Releasing this
information would negatively impact on existing and future commercial
interests, giving other companies a competitive advantage and may result
in the loss of business.

This exemption is subject to the public interest test (section 2(1)(b) of
the Freedom of Information (Scotland) Act 2002), and in this case, the
public interest in withholding this information, outweighs the public
interest in disclosing this information. It is not in the interest of the
public to release this information, as it is not of serious concern or
benefit to do so.

13. What department is managing the contract and who's the decision-maker?
• ICT, Head of ICT

14. How many Adobe Acrobat (standard, professional and reader) licenses do
you have?
• Adobe Reader DC – 360
• Adobe Reader Pro – 15 Perpetual licenses
• Acrobat Pro DC for Teams – 6 Subscription licenses

15. What is the annual cost?
• Acrobat Pro DC for Teams - £171.96 x 6 = £1031.76

16. When is the renewal date?
• 21 June 2023

17. Who is responsible for the contract?
• ICT, Head of ICT

18. Do you use any other PDF editing tools?
• No
