MOD Records Review Team Staffing Levels & Amount of Records Reviewed

Dear Ministry of Defence,

Could you please supply me with the number of staff employed by the DBS MOD Records Review Team based at Portsmouth by Grade.

Could you also provide me with up to date copies of any Terms of Reference/Job Derscriptions of all posts graded at Civil Service C Band and above.

Could you also supply the total amount of records that have been reviewed by this team for every year since 2010 to the present and the amount of records that have been destroyed as a result of the review process for every year since 2010 to the present.

Why are the MOD Form 262s not collated in any kind of sequence or order so they can be searchable, I would imagine this would be minimum security requirement. Otherwise what is the point if them?

What is Field Review?

Why are there no figures for the amount of records destroyed by this field review procedure?

Who provides quality control of records that are marked for destruction?

Thank you for your e-mail. The answers to your questions are as follows:

Why are the MOD Form 262s not collated in any kind of sequence or order so
they can be searchable, I would imagine this would be minimum security
requirement. Otherwise what is the point if them?

The MOD Form 262s are stored in hard copy by file reference. This enables
identification of files or file ranges but does not easily enable
identification by age or date range across the holding. There are no
security requirements applicable to the storage methodology. MOD Form 262s
provide a record of the disposal of the file.

What is Field Review?

Review of records conducted at a place other than the MOD Main Archive or
at the Records Review team location.

Why are there no figures for the amount of records destroyed by this field
review procedure?

Typically because the volume of records is not known and the benefit of
counting the records is outweighed by the time / cost of doing so.

Who provides quality control of records that are marked for destruction?

Typically a combination of controls within the Records Review management
team, systemically through the destruction contractors operating procedure
and, for records considered for permanent preservation, by The National
Archives.
