I am currently researching if any paper documents are currently being archived and would be most grateful if you would provide me, under the Freedom of Information Act, details in respect to the contract below.
The details we require are:
• Do you currently have any paper documents in storage?
• If any, or all of your documents have been securely digitised, do you have any bespoke software to electronically access and manage scanned images?

Dear Mr Acton

 

Thank you for your request for information which we received on 18^th
January 2020.  Your request has been considered under the Freedom of
Information Act 2000 and my response is outlined below:

 

1.    Do you currently have any paper documents in storage

Paper documents that have been retained by the Authority are stored on
site.

 

2.    If any, or all of your documents have been securely digitised, do
you have any bespoke software to electronically access and manage scanned
images?

In 2009 we undertook a project to digitise 10 years’ worth of planning
application. This was undertaken by an external bureau using funds that
were available at that time.  Other paper documents are digitised on an ad
hoc basis, as requirements dictate.  There are 2 methods by which we
currently scan paper documents – using a multi-function
copier/printer/scanner, or using an A4 and A0 scanner that includes
scanning software.

 

3.    Who is the senior officer (outside of procurement) responsible for
the management of physical records?
