I would be most grateful if you would provide me, under the Freedom of Information Act, the following information regarding your facilities management approach:

• If any, which software solution(s) are used to manage your corporate property/assets, ownerships and occupations, lease agreements and facilities management (CAFM), and who are your current provider(s)?
• What is the start date and duration of the contract(s)?
• Is there an extension clause in the contract(s) and, if so, the duration of the extension?
• Has a decision been made yet on whether the contract(s) will be extended or renewed?
• What is the annual value of the contract(s)?
• What is the total contract value of each contract?
• How was the contract(s) procured, e.g., framework/tender?
• Who is the senior officer responsible for these systems?

We write with reference to your recent request to Trafford Council under
the Freedom of Information act for details of software the Council use for
managing corporate property. Our responses are as follows :-

 

•       If any, which software solution(s) are used to manage your
corporate property/assets, ownerships and occupations, lease agreements
and facilities management (CAFM), and who are your current provider(s)?

Just some of the responses that

 

Property and Facilities Management software systems is incorporated into
the One Trafford Agreement; the systems employed include,

• Concept FSI / CAFM
• Vision
• Zetasafe
• Kykloud
•  

The Estates Management Team at the Council use the property management
Database ‘TRAMPS’

 

•       What is the start date and duration of the contract(s)?
The One Trafford Agreement which started in June 2015 and runs to at least
June 2030.

The TRAMPS contract is for the period 1^st February 2022 – 31^st January
2023

•       Is there an extension clause in the contract(s) and, if so, the
duration of the extension?
The One Trafford Partnership can be extended until June 2036.

The Contract for TRAMPS does not have an extension clause.

•       Has a decision been made yet on whether the contract(s) will be
extended or renewed?
The One rafford contract will run for the foreseeable future. The TRAMPS
software contract will be reviewed near to expiry.

•       What is the annual value of the contract(s)?
This is included in the One Trafford Partnership; full details are set out
on the Council’s website under supplier spend: [1]Supplier Spend

The software TRAMPS costs the Council £7,250 per annum

•       What is the total contract value of each contract?

This is included in the One Trafford Partnership; full details are set out
on the Council’s website under supplier spend: [2]Supplier Spend

TRAMPS is £7250 per annum

•       How was the contract(s) procured, e.g., framework/tender?

Property and Facilities Management software systems is incorporated into
the One Trafford agreement.

TRAMPS was procured through Amey whilst the Estates team were outsourced.
•       Who is the senior officer responsible for these systems?
