Dear Calderdale College,

I would be most grateful if you would provide me, under the Freedom of Information Act, the following information regarding your facilities management approach:
• How are facilities management services (hard FM, soft FM or TFM) handled across your estates?
- If any services are outsourced, which services and to which suppliers?
- What are the start dates and durations of these contracts, including the end date, and which services are included in each?
- What are the values of the contracts?
- Is there an extension clause in the contract(s) and if so, what is the duration of the extension?
- Has a decision been made yet on whether the contract(s) are being either extended or renewed?
- What is the job title of the senior officer (outside of procurement) responsible for the contract(s)?
• Do you utilise any outsourced helpdesk or FM integrator services? If so, with which supplier(s)?
• Which software solution(s) are used to manage your corporate property/assets including facilities management (CAFM)?

- If any services are outsourced, which services and to which suppliers? Cleaning. (Bulloughs cleaning services July 2022 - July 25) Lifts (Schindler 3 year contract expires Oct 22 - Oct 25), Hygiene services (Initial July 2022 - July 25), Archiving (Restore - Feb 2022 - Feb 25), Legionella/water services (WCS April 2022 - April 25, Fire/Intruder Alarm (ADT - Rolling contract), HVAC (NG Bailey - Renewed Annually - Tender due), Waste (AWM - Rolling contract Due for Re-tender, Confidential waste (GoShred - started 2020 - Renews annually unless cancelled) Water Coolers (Aquaid 3 year contract April 2023 - April 2026)
- What are the start dates and durations of these contracts, including the end date, and which services are included in each? As above
- What are the values of the contracts? Full contract value unless stated - Cleaning £327k, Lifts £18k, Hygiene services £24k, Archiving £20k , Confidential waste £2k annually, HVAC £22K, Water Hygiene £6500, Waste Management, fire/Intruder alarm £12k annually , Water coolers - £24k. Please note these are approximate values.
- Is there an extension clause in the contract(s) and if so, what is the duration of the extension? Cleaning + 2 years, all others no
- Has a decision been made yet on whether the contract(s) are being either extended or renewed? Service contracts are renewed at the point of which they expire. Some agreements roll on as the manufacturer are best placed (or on occasion are the only company) to service the equipment.
- What is the job title of the senior officer (outside of procurement) responsible for the contract(s)? Head Of Estates
• Do you utilise any outsourced helpdesk or FM integrator services? If so, with which supplier(s)? yes - SysAid for helpdesk
• Which software solution(s) are used to manage your corporate property/assets including facilities management (CAFM)? none
