Dear Warwick District Council,

Please can you assist me through the Freedom of Information in providing the following information:
1. Please state the number of employees and number of offices within your organization.
2. Please state the number of printers currently within the organization, including MFD´s & photocopiers.
3. Please state the number of devices that are A3 compatible.
4. What percentage of your fleet is printed in colour vs mono?
5. In terms of usage, what is your monthly page volume?
6. How many users on average per printer?
7. Please state the number of large format devices and your current model.
8. Who are the main manufacturers for the printers (hardware)?
9. Who are the main supplier(s) of print consumables (Toner, spares, etc)?
10. Who is your preferred channel partner, if any?
11. What is the approximate spend on printers and consumables during the last year?
12. What are the start and end dates for the managed print contract in your organization (if applicable to the MFD´s)?
13. Which procurement route or framework was used to procure this service?
14. The named person and their role in your organization is in charge of the procurement for printing and any managed print contracts.

Thank you for your request for information which I acknowledge was received by the District Council on 16 April 2018.

Your request is currently being considered. If the District Council is able to provide you with the information you have requested, then under the Freedom of Information Act you are entitled to receive it within 20 working days.

For your information, the FOI Act defines a number of exemptions which may prevent release of some or all of the information you have requested. The District Council will assess your information request in light of the exemptions. Further to your request for information, please find below the response from Warwick District Council.

1. Please state the number of employees and number of offices within your organization. 476
2. Please state the number of printers currently within the organization, including MFD´s & photocopiers - 35
3. Please state the number of devices that are A3 compatible - 30
4. What percentage of your fleet is printed in colour vs mono? 70% mono 30% colour
5. In terms of usage, what is your monthly page volume? 167,000
6. How many users on average per printer? The print solution is generally based on a “follow me print” method so most users can access most printers. All corporate MFDs can be printed to by all staff, (User count for the organisation is circa 550). In addition there are a few limited devices which are used for specialist media that are limited to small user groups and there are some devices at remote sites
7. Please state the number of large format devices and your current model. By large format device I am assuming you mean devices able to print up to A0 size. If this is correct then we have two Ricoh MP CW 2201 devices for corporate use. If you require different information please clarify.
8. Who are the main manufacturers for the printers (hardware)? Ricoh
9. Who are the main supplier(s) of print consumables (Toner, spares, etc)? Ricoh
10. Who is your preferred channel partner, if any? n/a
11. What is the approximate spend on printers and consumables during the last year? £80,000
12. What are the start and end dates for the managed print contract in your organization (if applicable to the MFD´s)? July 2017 for a 3 year lease
13. Which procurement route or framework was used to procure this service? The service was procured through a tender process.
14. The named person and their role in your organization is in charge of the procurement for printing and any managed print contracts. Rebecca Reading, Senior Business Partner Procurement.
