Under the Freedom of Information Act, could you please send me:

a) the latest copy of your IT Strategy / Strategies, including any
"e" or web strategies.
b) the names of any applications that you have purchased to manage
your HR, Purchase to Pay, Finance, CRM, time sheet (including
flexible working time) and IT Service Desk and/or Help Desk data.
c) the date and the initial capital and other costs for the initial
implementation of these applications.
d) the names of the organisations that you have entered into a
contract with to: firstly, supply these systems and secondly,
perform annual support.
e) the values of any annual support costs that are payable in
relation to these systems, broken down by system and organization
the fee is payable to.
f) the expiration date of the contracts for each of these
applications.

I set out my answers below.

a) The latest copy of your IT Strategy / Strategies, including any "e" or
web strategies.

I have attached the Department for Culture, Media and Sport (DCMS)
Information Services Strategy 2009. I have also attached the DCMS Overall
Information Services strategy for the years 2008-2013.

b) The names of any applications that you have purchased to manage your
HR, Purchase to Pay, Finance, CRM, time sheet (including flexible working
time) and IT Service Desk and/or Help Desk data.
c) The date and the initial capital and other costs for the initial
implementation of these applications.
d) The names of the organisations that you have entered into a contract
with to: firstly, supply these systems and secondly, perform annual
support.
e) The values of any annual support costs that are payable in relation to
these systems, broken down by system and organization the fee is payable
to.
f) The expiration date of the contracts for each of these applications.

It may be helpful if I set out my answers in reference to the specific
areas you mention in part b of your request.

HR

The Oracle HRMS Rel 12i system is used to manage the Department's Human
Resources and payroll services. This system is provided as part of our HR
payroll contract with Logica since August 2009, and extends until 31^st
March 2013. The annual managed service charge for Oracle is £32,677.80

Purchase to Pay and Finance

The Integra e-Financials system is used to manage the Department's
Purchase to Pay and Finance. This is provided by iSoft (formerly I-B
Solutions)

Integra went live in February 2006. The capitalised cost of the accounting
systems re-implementation project, including external project management
support and work on business process redesign from Insight MSC, was
£959,062.

Software licences and maintenance agreements are held by the Department's
accounting services provider, Liberata UK who have the contractual
relationship with iSoft for both software licences and maintenance.

At present these costs are not separately billed by Liberata from their
own charges for application administration and maintenance of the database
environment.

Contracts with iSoft for maintenance of Integra are annual and the next
maintenance contract expires in August 2009.

CRM

DCMS does not operate an electronic CRM (which I take to mean "Customer
Relationship Management") system, although we do have electronic systems
in place for logging correspondence and phone calls from the public and
for saving and monitoring our written responses.

Time Sheet (including flexible working)

DCMS does not operate a centralised time-sheet system or a flexible
working time system. However, an excel spreadsheet for logging flexible
hours is available for our staff to use.

IT Service Desk and/or Help Desk

DCMS IT support service is outsourced to Atos Origin who use their own
software for the service desk.
