I write in response to your request for information dated 9^th July, 2019,
received by the University and passed to me as the University’s Freedom of
Information Officer for action.

 

In response to your question one :

1- How many Freedom of Information requests you have received per month
from April 2017 to May 2019?

Prior to April 2018 this information was not centrally recorded by the
University not held by the University in a way that makes it accessible.

 

When Freedom of Information requests were received by the University we
did not record each one centrally.

 

In order to locate, retrieve and extract the information you require each
request file will need to be reviewed. This exercise will take in excess
of 2½ days and as such this information is exempt under section 12 (would
exceed the appropriate limit) of the Freedom of Information Act 2000 as
set out in Statutory Instrument 2004 NO 3244 “The Freedom of Information
and Data Protection (Appropriate Limit and Fees) Regulations 2004”.

 

For those requests received from April 2018 to May 2019 please see the

In response to your question three:

3- The number of Data subject access requests you have received per month
from April 2017 to May 2019?

In the specified time-frame (April 2017 to May 2019) the University has
received <5 Data Subject Access Requests per month. Therefore please be
advised that the figure for each month is <5.

 

In order to prevent the possibility of individuals being identified in the
case of small numbers, where there are between 1 and 4 individuals in a
category we will show the figure as <5 in compliance with Section 40(2) of
the Freedom of Information Act 2000. This position is based on definitions
of personal data as set out in European ARTICLE 29 DATA PROTECTION WORKING
PARTY Opinion 4/2007 on the concept of personal data (01248/07/EN WP 136).

7- How many staff (FTE) do you have to respond to freedom of information
and data subject requests?

The University has 3.4 FTE members of staff whose roles cover the
responses to Freedom of Information and Data Subject Access Requests as
well as Records Management duties and the provision of an Archive service.

 

In response to your question eight:

8- In which department do these staff sit? E.G. IT, Legal, Governance,
Executive support

These members of staff sit within our Student and Academic Services.
