Information on Facilities Management Contracts and/or Frameworks

I would be most grateful if you would provide me, under the Freedom of Information Act, details in respect to any Catering, Cleaning, Security, Technical Services (this includes and planned or reactive repairs & maintenance) and facilities management services you have on contract.

The details we require are:
• Suppliers who applied for inclusion on each framework/contract and were successful & not successful at the PQQ & ITT stages
• Actual spend on this contract/framework (and any sub lots), from the start of the contract to the current date
• Start date & duration of framework/contract?
• Could you please provide a copy of the service/product specification given to all bidders for when this contract was last advertised?
• Is there an extension clause in the framework(s)/contract(s) and, if so, the duration of the extension?
• Has a decision been made yet on whether the framework(s)/contract(s) are being either extended or renewed?
• Who is the senior officer (outside of procurement) responsible for this contract?

Thank you for your request for information regarding Catering, Cleaning,
Security, Technical Services and Facilities Management contracts, which
was received on 31/03/2022.

The council aims to provide you with the information within the statutory
timescale of 20 working days in this case the date is 29/04/2022.
Subject to the information not being exempt or containing any references
to third parties.

The council will, as a matter of routine make information available in
electronic format. Where it is not practical to do this information will
be provided in hard copy (paper). If information is required in
alternative formats e.g. language, audio, large print, etc., please
indicate this as soon as possible so the council can consider your
request.

The Freedom of Information Act 2000 define a number of
exemptions/exceptions which may prevent information being released to you
automatically. The council will make an assessment about the application
of any exemptions/exceptions and issue you with a decision letter, which
will include details of your right to appeal.

If the information you request contains reference to a third party the
council will consult with them prior to making a decision about the
release of information.

In accordance with the council's Charging Policy a fee may be charged for
supplying information. If a fee is payable you will be issued with a fees
notice. The applicable fee must be paid in full before the information is
processed and released. The statutory time limit for responses is
suspended until the council has received and processed your payment. If
payment is not received within three months of issuing the fees notice
your request will be closed.

PSB for clarification on the items you have detailed;

Q - For Catering/Cleaning – do you require information regarding Catering/Cleaning Services that we procure for use within Council sites? Or do you require the information about Food/Cleaning Products for use within Council sites?
A - Services only not products.
Q - For Technical Services – does this relate to buildings or IT? If it is buildings is this for services the Council
provides or procured for Council use? And if for Council use does this relate just to corporate buildings or all
Council sites?
A - Technical services relates to building repairs and maintenance. This is external contract you have procured not what the council carries out. All sites that are listed under the councils authority both corporate buildings and sites.
