• Do you outsource Facilities Management?
• If yes, whether in whole or in part, to which supplier(s)?
• Are these Total FM, Hard FM or Soft FM contracts?
• What is the start date and duration of the contract(s) and what is included in each?
• Is there an extension clause in the contract(s) and, if so, what is the duration of the extension?
• Has a decision been made yet on whether the contract(s) are being either extended or renewed?
• What is the annual value of each contract?
• Who is the senior officer (outside of procurement) responsible for the contract(s)?
• Which software solution(s) are used to manage your corporate property/assets including facilities management (CAFM)?

Dear Alan,

 

Thank you for your Subject Access Request (SAR) for personal data held by
the London Fire Brigade.  Your request has been logged under the reference
number 5748.1  and will be considered under the Data Protection Act (DPA)
2018.  

 

If you didn’t use your LFB email account to make your request we will need
you to provide proof of your identity. This can either be a copy (picture
or scan) of your LFB Photo ID or another formal identification document.
This should be emailed to [1][email address]   If you
have not used your LFB email (or your LFB Photo ID) to identify yourself
you will also need to provide us with your pay number, date of
birth and the location of your usual workplace. This is
particularly important if you have a name that is the same or similar
to another employee so that we can be sure we have identified the correct
person. 

 

As an employee, we will hold a lot of information where your name appears
but where you are not the focus or subject of the information (for
example work emails sent to a whole team or watch). If you haven’t already
done so, you may find it beneficial to be specific about the information
you are interested in. For example, you should specify the service area(s)
and time period your enquiry relates to. Any key words such as
disciplinary, HR, wellbeing, sickness, injury at work etc will also be
helpful. 

 

You should know that in most case we go directly to the individuals, team,
or department who hold information about you. We will only inform those
people who it is necessary for us to tell to complete your request.  

You are only entitled to the information that is about you. If a document
also contains information about another individual(s) then the parts that
are not about you will be redacted. We will also redact information that
could indirectly identify another person(s) or identify them as the source
of information.  

 

The timeframe for responding to a SAR is one calendar month from the date
of request. However, this process does not begin until we have verified
your identity, received confirmations and clarifications. Also, given the
current situation with the Coronavirus, this may be outside of the normal,
expected timeframe for a SAR response.
