Freedom of Information, Buckinghamshire Council

Dear Mr Kaur

FOI 26975

Thank you for contacting Buckinghamshire Council and your request for
information below regarding inappropriate drawings around potholes.

Request:
I am getting in touch to enquire about the number of reported potholes
that have been fixed after people drew inappropriate drawings around them
in the last six years (January 2015 to June 2021).  Could you please
specify the areas affected and how long it took for the council to repair
the pothole.

This request has been handled under the Freedom of Information Act 2000.

Please refer to our response below.
We confirm we hold the information requested; however, we estimate that
compliance with your request would exceed the appropriate costs limit
under section 12 of the Freedom of Information Act 2000.  This is £450 (18
hours at £25 per hour).

Pothole reports are logged onto our Confirm computer system.

Unfortunately, the information you require is not centrally recorded; we
are unable to extract the data in an easily reportable format.

Each record would need to be individually reviewed.

We estimate it would take an average of 1 minute to retrieve each record,
review it and extract the required information. There are 92,471 records
to check.

Please note the number of potholes repaired between 2015 - 2020:

2015 = data not held as we changed operating systems

2016 = 20,819

2017 = 18,447
2018 = 20,939
2019 = 14,216

2020 = 18,050

 At 1 minute per record, the total time required would be 92,471 minutes,
or 1541.18 hours:

Number of minutes x number of documents = 92,471 minutes

Number of minutes / 60 = 1541.18 hours.

We are therefore refusing this request due to the cost/time limitation
under section 12 of the Freedom of Information Act 2000.

As part of our Section 16 obligations (“duty to provide advice and
assistance”), we shall be happy to help you refine or narrow down your
request.

For example, you might wish to limit your request to a more limited
timeframe.

If you have any queries about this letter, please contact me. Please
remember to quote the reference number provided in the subject line of
this email in any future communications.

If you are unhappy with the service you have received in relation to your
request and wish to make a complaint or request a review of our decision,
