Freedom of Information Requests, York Teaching Hospital NHS Foundation Trust

Dear Mr Townsend,

We write further to your email of 18^th December made under the terms of
the Freedom of Information Act 2000.

Please accept our sincere apologies for the delayed response. This is not
indicative of the service we provide and we are sorry if our delay has
caused you any inconvenience.

York Teaching Hospital NHS Foundation Trust's response against each
element of your request is shown below

How many staff do you currently employ to undertake RTT validation tasks?

The Trust’s electronic patient record has inbuilt validation rules which
start/stop clocks automatically where possible.  In addition, RTT ‘tasks’
form part of the job role for different teams throughout the Trust as part
of their daily workload.  In addition, a team of dedicated RTT trackers
are employed to constantly review and update the system, providing a
central point of expertise on RTT.

How many more permanent or temporary staff are expected to be needed over
the next 12 months?

No change to current establishment

How many open RTT pathways do you have currently?

29,351 as at today but this does fluctuate daily

How many staff do you currently employ to undertake clinical coding
validation tasks?

Validation is inbuilt to the clinical coding screens within our electronic
patient record, therefore we do not employ staff specifically to undertake
clinical coding validation tasks.  We do employ a clinical coding auditor
and trainee auditor, whilst this isn’t strictly validation, it provides
assurance on both auditor and specialty coding standards

How many more permanent or temporary staff are expected to be needed over
the next 12 months?

No changes expected to current establishment

Do you operate and utilise a live bed state system?

Yes, daily

Has your organisation implemented any centralised or 24 hour bed
management process, or have an automatic electronic utilisation data
capture solution. Yes

If so, which processes or solutions are in use? Many processes and
solutions are in use Bed state, predictor tool, discharge data, arrivals
board. ED screen, ED transfer board, visual hospital boards, ambulance
screen and general ward list.

What is the name, job title, and department contact email address of the
primary decision maker for change control of the bed state process? Please
note that it not within Trust Policy to share the names of our staff
members below Director level but all departments including staff in
patient flow can be reached by telephoning the Trust’s main switchboard on
01904 631 313.

How many Urgent Care/Emergency Department staff have access to the spine
lookup and validation service to verify demographics at the point of
patient registration?

The number of staff is not centrally recorded, but the key staff who use
this are reception and booking clerks Trist-wide, who take a snapshot of
the Summary Care Record and upload it into the Trust’s electronic patient
database for other clinicians to view when the patient is being admitted.

We hope that the information supplied will be of use to you.

Yours sincerely,

Information Governance Team
