Dear Hackney Borough Council,

This is a request for information under the Freedom of Information Act and relates to overseas trips.

From 01 January 2016 to the day this request is processed, I would like to know the number of overseas trips council officials have taken in the course of conducting council business.

For each overseas trip, please provide the following information:

- The date and duration of the overseas trip, as well as the country/city that was visited
- The full name, title and position of the council official who went on the overseas trip
- The reason or reasons why the council official went on the overseas trip
- The cost of the overseas trip (please provide a breakdown of travel costs, accommodation costs and expenses)
- Please state whether the council met the costs of the overseas trip, or whether an individual, group, company, consortium, charity or another organisation met the costs.
- Please provide the full name of the individual, group, company, charity or organisation that met the costs. If it is a group or consortium, please state who or what composes the group or consortium.

I would like to receive the information electronically. If you feel that a substantive response to this request is not possible within a reasonable time frame, or the request is too broad or too vague, I would be grateful if you could contact me and provide assistance as to how I could refine the request.

Dear Ms Corderoy,

 

Thank you for your recent Freedom of Information request received on 4^th
July 2017. You requested information on the numbers of overseas trips
council officials have taken in the course of conducting council business.

 

I can confirm that while we do hold this information it is not held
centrally in an easily retrievable format, nor is there an automated
mechanism that would allow us to easily collate the required data.

 

The Freedom of Information and Data Protection (Appropriate Limit and
Fees) Regulations 2004 has set the appropriate limit as £450 based on a
charge at £25 per hour.

 

Section 12 of the Act states that the Council is not obliged to comply
with a request for information if the authority estimates that the costs
of complying with the request would exceed the appropriate limit.

 

The appropriate limit is represented by the estimated cost of one person
spending 2½ working days in determining whether the Council holds the
information, and locating, retrieving and extracting the information
requested. Consequently the Council is not obliged to respond to your
request under the Freedom of Information Act 2000.

 

As part of our duty to provide advice and assistance under Section16 of
the Act, the Council has an obligation, where a request has been turned
down on the basis of an exemption, to assist the applicant in
re-formulating a request that would be less likely to attract an
exemption.

 

Your original request would have required substantial information to
gathered from every team in every department in the London Borough of
Hackney. You may wish to consider narrowing the scope of your request to
specific office holders or departments. This could help to bring the work
required to fulfil the request below the appropriate time limit.

 

Any reformulated request the department receives from you will be treated
