Dear NHS Birmingham CrossCity Clinical Commissioning Group,

This is a request for information under the Freedom of Information Act 2000.

I would like the following information sent via email:

All requests made to your organisation by registered charities in Birmingham that have requested from the NHS either condoms or sanitary items relating to menstruation, within the calendar year 2017.

I would like this to include what charity made the request, what product was requested, whether these requests were granted or denied, and for what reasons these decisions were made. If the requests were granted, I would like to know what volume of product was provided to the charity, and the date it was given.

I would also like all correspondence between your organisation and registered charities in Birmingham (including emails, letters, memos, agendas, minutes, and telephone records) containing the keywords "tampon", "sanitary towel", "condom" and "homeless" within the calendar year 2017.

I would like this information to be presented in a searchable format, preferably in a PDF or xls. spreadsheet.

If this request is too broad or cannot be compiled within a reasonable time frame, I would appreciate any further guidance on how to refine my request.

Thank you for your request for information, under the requirements of the Freedom of Information Act 2000. We started work on this request on the 6 March 2018. As per section 10 of the Act, you can expect a reply no later than 20 working days from this date, that is, by 5 April 2018.

|NHS CrossCity CCG is unable to determine whether it holds the |
|information you have requested, as we estimate that to locate the |
|requested information, retrieve and extract it, would result in the |
|18-hour appropriate limit being exceeded. |

|Under Section 12 of the Freedom of Information Act, we are not required |
|to provide information where the cost of complying will exceed the |
|appropriate limit.  We believe it will take a significant amount of time|
|to collate the information you have requested, as there are currently |
|2,717 registered charities in Birmingham.  In order for us to determine |
|whether we hold the information, locate it, retrieve and extract it, we |
|would need to copy and paste the names of each registered charity into a|
|query.  Due to the number of registered charities involved, we would |
|need to create multiple queries, as attempting to run one query would |
|have the potential to either slow our systems, or take them down.  We |
|estimate that it will take 11 hours and 15 minutes as a minimum to copy |
|and paste each of the 2,717 charities’ names into one query, this time |
|will increase, when having to create several queries. |

|As we would need to search all of our electronic files and folders for |
|each of the 2,717 registered charities, for the keywords and time period|
|specified, we estimate that this would take several days to perform this|
|search alone.  |

|Additionally, we would need to search all of our user mailboxes and |
|archived mail, which it is estimated would take several days. |
| |
|  |
| |
|You may be able to bring your request within the appropriate limit by |
|focusing on a single named charity a single department and a single type|
|of correspondence (eg e-mail) for a period of a week, however, we cannot|
|guarantee that we would hold the requested information, or that we would|
|be able to determine, locate, retrieve and extract the information you |
|have requested within the 18-hour appropriate limit. |
