1. Do you provide a centralised printing and / or reprographics service?
a. Who are the current suppliers of production digital printing systems? (this does not include office MFD systems)
b. Can you provide details of make / model of the equipment and when it was installed?
c. Can you provide the last 3 years approximate costs for the supply of digital printing equipment and indicate when the contract is to expire?
d. If you outsource this function in whole or in part, please indicate who is the current supplier/s are, annual spend for the last 3 years, and when the contract is due to expire. (This does not include ad-hoc print requests)
e. Can you please provide contact details for the person responsible for the above?
2. Do you provide a centralised mail fulfilment service?
a. Who are the current suppliers of mail fulfilment systems?
b. Can you provide details of make / model of the equipment and when it was installed?
c. When does the contract expire?
d. If you outsource this function in whole or in part, please indicate who the current supplier/s are and when the contract is due to expire. (This does not include ad-hoc print requests)
e. Can you please tell me how many franking machines the Council has?
f. Can you please identify the financial spend on all these products broken down by (Mailing Systems, Mailing Software, Franking Systems) for the last 3 years (total per year not per device will suffice)?
g. Can you please provide contact details for the person responsible for the above?
3. Can you please confirm your line of business systems for the following business areas and confirm if the printing / mailing is done in house, outsourced or a mixture? Can you identify the approximate spend on these items broken down by license costs, support costs, consultancy costs and external mailing costs?

Annual billing is outsourced to CFH Docmail. Total annual costs 2016/17 = £10,564.62 plus £14,380.24 postage

d) Elections - Printing is mostly external. Mailing for poll cards are mailed directly from the printers who use Royal Mail. Postal votes mailing is managed in house and sent using Royal Mail.

e) Social Housing - Home Connections provides Devon Home Choice. Printing is a mixture of in-house and out-sourced bulk printing done via Devon Home Choice Co-ordinator; although North Devon Council contributes £1,000 per annum towards printing cost of application forms, guidance etc. North Devon Council manages applications on Devon Home Choice that are either resident in the areas or out of area but requesting the Council's area (currently 2,698 applications) and are responsible for mailing out to these applicants. This postage cost is not separated for this area work and therefore we are unable to provide the specific costs.

Printing and mailing for debtors and creditors is done in-house (post room, print room and Multi- Functional Devices). Internal recharge totals during 2016/17 to Exchequer:

External print service for payslips, the cost of which in 2016/17 was £387.66.
Payroll system = FMP Payroll (previously TeamSpirit), the annual support cost for 2016/17 was £4,521.75.
