Facilities Management, compliance, and maintenance services
Dear Creative Education Trust,
Under the Freedom of Information Act 2000, I would be grateful if you could provide me with the following details regarding your organisation’s approach to facilities management, compliance, and maintenance services:
1. Facilities Management Approach
• Is the delivery of your compliance and maintenance services (Electrical, HVAC, Fire and Security etc) in-house or outsourced, or mixed?
• If any services are outsourced, which services are outsourced, and to which providers?
• What are the contract start dates and durations, including the expiry date?
2. Use of CAFM Software for Compliance and Maintenance
• Does your organisation use a CAFM (Computer-Aided Facilities Management) system to manage compliance and maintenance services?
• If so, which CAFM system is in use?
• What is the contract start and end date for the CAFM system?
3. Senior Officer Responsible
What is the job title of the senior officer (outside of procurement) responsible for overseeing these facilities management contracts?
Thank you for your time and assistance and I look forward to your response.
Yours faithfully,
Tanya Ewart
Dear Ms Ewart,
Please see below the response to your recent Freedom of Information
request to Creative Education Trust.
1. Facilities Management Approach
• Is the delivery of your compliance and maintenance services
(Electrical, HVAC, Fire and Security etc) in-house or outsourced, or
mixed?
Delivery of compliance and maintenance services varies across our Trust
which has schools nationally. As a Trust we will only source with trusted
providers and through robust OJEU approved frameworks. This applies to
Hard and Soft FM services. These providers will always be appointed
thought government approved frameworks. We have extensive knowledge of
pricing and supplier performance and work to assess the marketplace
activity with many other Trusts.
• If any services are outsourced, which services are outsourced,
and to which providers?
This is commercially sensitive. We would generally source services that
require specific certification and expertise as directed through HSE
guidance.
• What are the contract start dates and durations, including the
expiry date?
Existing contracts on existing frameworks will be refreshed upon contract
demise in accordance with new legislation effective 25/2/25. It is not
appropriate to provide commercially sensitive information relating to
market competitors, contract valuations and/or performance.
2. Use of CAFM Software for Compliance and Maintenance
• Does your organisation use a CAFM (Computer-Aided Facilities
Management) system to manage compliance and maintenance services?
We do use Compliance management software and have recently re procured
until 2028.
• If so, which CAFM system is in use?
The most effective product on the market. Contractual terms and
conditions Wouk require us to not disclose information to competitors.
• What is the contract start and end date for the CAFM system?
Commercially sensitive but our options to extend in 2028 and we will be
looking for a cost reduction at that point.
3. Senior Officer Responsible
What is the job title of the senior officer (outside of procurement)
responsible for overseeing these facilities management contracts?
Director of Estates and Facilities. Our Director works alongside other
Trusts and leads national procurement strategies.
