This is the e-mail address for enquiries about portraits and the collections and history of the National Portrait Gallery (including requests for information made under the Freedom of Information Act). The Gallery usually responds to portrait enquiries within 15-20 working days (except over the Easter and Christmas periods when there may be a delay). Freedom of Information requests are answered within 20 working days.

Note: we are not able to respond to enquiries about foreign portraits and non-portrait works of art, and neither are we able to provide advice on valuations. For subjects unrelated to British portraiture please contact a general art reference library and for valuations please contact a fine art auction house or dealer.
Images of portraits and correspondence sent to the Gallery may be kept for reference and research purposes.

Please see below the answers to your questions.
1. What ERP (Enterprise Resource Management) or Finance system is
currently used?
The National Portrait Gallery does not use an ERP system. The Gallery uses
PS Financials for its Finance system.
2. When does your contract expire?
The Gallery’s contract for PS Financials is renewed annually on 1st
September.
3. Do you have any planned upgrades of the software? If so, when?
The Gallery are currently in the process of upgrading PS Financials to a
more recent version of the application.
4. Are you planning to go to market for a different ERP/ Finance
system? If so, when?
The Gallery is not planning to go to market for a different Finance
system.
5. How many users / licenses of the system do you have?
The Gallery has 12 concurrent user licences, 2 document emailers and 4 API
licences for PS Financials.
6. Who is the person responsible for your ERP / Finance system?
Please provide full name, title and contact information if possible.
Nick Hanks, Director of Finance & Planning, is the person responsible for
the Gallery’s Finance system. Contact details have not been provided under
section 40(2) – Personal information of the Freedom of Information Act
2000, which states that:
“(2) Any information to which a request for information relates is also
exempt information if—
(a) it constitutes personal data”

After 3 months from the last meaningful correspondence this case will be
closed. For an internal review request please contact us within a 3 month
