Could you kindly respond to the below questions;

1. Which software are you currently using for the following Enterprise Resource Planning (ERP) services (if using more than one vendor - please breakdown accordingly):
a. Finance and Accounting
b. Procurement
c. Project Portfolio Management
d. Supply Chain Management
e. Planning and Budgeting
f. Performance Management
g. Human Resources
h. Payroll
i. Talent Management
j. Workforce Planning
2. How many users within your organisation have access to the above ERP services? If you are not using all of the above services, please mark N/A where applicable.
3. Which version of the software for the above ERP services are you using?
4. When was the last time this ERP software was upgraded?
5. What was the cost of the last upgrade for the above ERP services? Please provide a breakdown of the software, hardware and associated services.
6. Are you planning another ERP upgrade in the next 12-18 months? If yes, do you envisage the purchase of additional software and hardware?
7. Are the above ERP services provided in-house or are they outsourced? If outsourced which service provider are they outsourced to and when does the contract expire?

Information requested under the Freedom of Information Act (FoIA)

 

Further to your request of 22 December 2017, I can confirm that we have
handled your request for information about Enterprise Resource Planning
(ERP) services within the terms of the FoIA.

 

Your request and our responses are as follows:

 

Could you kindly respond to the below questions;

1. Which software are you currently using for the following Enterprise
Resource Planning (ERP) services (if using more than one vendor - please
breakdown accordingly):

a. Finance and Accounting

We use a system called SAP via the Department for Transport’s (DfT) Shared
Service Centre (SSC).

b. Procurement

Please see response for Q1(a)

c. Project Portfolio Management

We do not use Project Portfolio Management therefore this is a nil
response.

d. Supply Chain Management

We use Service Now for ICT.

e. Planning and Budgeting

Please see response for Q1(a)

f. Performance Management

g. Human Resources

h. Payroll

i. Talent Management

We do not use Talent Management therefore this is a nil response.

j. Workforce Planning

We use internal legacy systems.

2. How many users within your organisation have access to the above ERP
services? If you are not using all of the above services, please mark N/A
where applicable.

 

All DVSA users have access to SSC and Service Now, the in-house ICT
support system.

3. Which version of the software for the above ERP services are you using?

At present we are using SAP70 plus portal and Service Now Istanbul.

4. When was the last time this ERP software was upgraded?

Both systems were updated in 2017. Our legacy workforce planning systems
are currently being upgraded.

5. What was the cost of the last upgrade for the above ERP services?
Please provide a breakdown of the software, hardware and associated
services.

As these systems are DfT shared services systems we cannot provide any
information about associated costs. We have however passed on your query
to DfT for them to respond.

6. Are you planning another ERP upgrade in the next 12-18 months? If yes,
do you envisage the purchase of additional software and hardware?

 

At present we are not planning on upgrading any of our ERP systems.

7. Are the above ERP services provided in-house or are they outsourced? If
outsourced which service provider are they outsourced to and when does the
contract expire?

 

DfT’s shared services system is administered in-house and as such we
cannot provide any further information. Service Now is an in-house DVSA
provision.

8. When does your existing contract for the above ERP software expire and
when do you intend to re-tender?

As the SSC is administered by DfT and Service Now is an in-house provision
no such contracts exist. We currently have no plans to replace the ERP
software, therefore we do not intend to retender.

9. Which software do you currently use for Customer Relationship
Management (CRM)?

We currently use Respond.

10. When does the existing software contract expire for CRM and when do
you intend to re-tender?

The existing contract for CRM was upgraded in 2017. We are currently
considering options for a future CRM system but there are no current plans
to retender.

11. Which software do you currently use for Business Intelligence (BI)?

 

We currently use Business Objects, Crystal Reports, Tableau, SAS and Power
BI.

12. When does the existing software contract expire for BI and when do you
intend to re-tender?

 

Our contract with the support company expires at the end of 2018. However,
we own the software so we aim to continue its use with another supplier
supporting it. Power BI is just being implemented.
