We're waiting for Heston Roberts to read recent responses and update the status.

Dear British Council,

Could you kindly provide responses to the below questions;

1. Which software are you currently using for the following Enterprise Resource Planning (ERP) services (if using more than one vendor - please breakdown accordingly):
a. Finance and Accounting
b. Procurement
c. Project Portfolio Management
d. Supply Chain Management
e. Planning and Budgeting
f. Performance Management
g. Human Resources
h. Payroll
i. Talent Management
j. Workforce Planning
2. How many users within your organisation have access to the above ERP services? If you are not using all of the above services, please mark N/A where applicable.
3. Which version of the software for the above ERP services are you using?
4. When was the last time this ERP software was upgraded?
5. What was the cost of the last upgrade for the above ERP services? Please provide a breakdown of the software, hardware and associated services.
6. Are you planning another ERP upgrade in the next 12-18 months? If yes, do you envisage the purchase of additional software and hardware?
7. Are the above ERP services provided in-house or are they outsourced? If outsourced which service provider are they outsourced to and when does the contract expire?
8. When does your existing contract for the above ERP software expire and when do you intend to re-tender?
9. Which software do you currently use for Customer Relationship Management (CRM)?
10. When does the existing software contract expire for CRM and when do you intend to re-tender?
11. Which software do you currently use for Business Intelligence (BI)?
12. When does the existing software contract expire for BI and when do you intend to re-tender?

Dear Mr Roberts

 

Thank you for your request for information dated 22 December 2017
concerning ERP technology and services. Your request has been handled
under the terms of the Freedom of Information Act (FOIA) 2000 and has been
passed to me for reply.

 

For your ease of reference, I have restated your request below in bold and
have provided our response beneath.

 

1.         Which software are you currently using for the following
Enterprise Resource Planning (ERP) services (if using more than one vendor
- please breakdown accordingly):

a.         Finance and Accounting – SAP

b.         Procurement – SAP

c.         Project Portfolio Management – Microsoft Excel

d.         Supply Chain Management – SAP

e.         Planning and Budgeting – SAP

f.          Performance Management – SAP

g.         Human Resources – SAP

h.         Payroll – Not on SAP.  The payroll application varies locally
by country around the world

i.          Talent Management – None

j.          Workforce Planning – None

2.         How many users within your organisation have access to the
above ERP services?  c. 7,000. 

If you are not using all of the above services, please mark N/A where
applicable.

3.         Which version of the software for the above ERP services are
you using?  ECC 6.0 enhancement pack 8

4.         When was the last time this ERP software was upgraded?  June
2017

5.         What was the cost of the last upgrade for the above ERP
services?  £32k. Please provide a breakdown of the software, hardware and
associated services. The vast majority of the work done was in-house using
the internal team and we did not capture how many hours were worked on the
upgrade. Software £0k, hardware £0k, associated services £32k (on a SAP
BASIS consultant contractor).

6.         Are you planning another ERP upgrade in the next 12-18 months? 
No.

If yes, do you envisage the purchase of additional software and hardware?

7.         Are the above ERP services provided in-house or are they
outsourced?  In-house

If outsourced which service provider are they outsourced to and when does
the contract expire?

8.         When does your existing contract for the above ERP software
expire and when do you intend to re-tender? It’s a rolling annual
maintenance contact with SAP.

9.         Which software do you currently use for Customer Relationship
Management (CRM)?  Salesforce

10.       When does the existing software contract expire for CRM and when
do you intend to re-tender? March 2018 and we will be using G-cloud to
procure a suitable replacement service in the coming months 

11.       Which software do you currently use for Business Intelligence
(BI)?  SAP

12.       When does the existing software contract expire for BI and when
do you intend to re-tender? It’s a rolling annual maintenance contact with
SAP.
