the University of Warwick under the Freedom of Information Act 2000.
Please find below your request and our response.

After we sought clarification from you on the 17 January 2020, you
provided the following further information:

Thank you for your email. I would like to clarify:

grades did meet your grade offers?

 

The University’s Central Admissions Team undertook relevant searches and
ran reports within their case management system to obtain the information
requested. However, for the academic years 2016/17 and 2017/18 the course
codes provided in your request did not produce anything. This could be
because either the courses did not exist at the time or they were
previously coded differently.

 

Notwithstanding, the University is unable to provide the requested
information, for 2018/19 and 2019/20, within the appropriate costs limit
under section 12(1) of the Freedom of Information Act 2000. This is due to
the way in which the information requested is held. Predicted grades are
not a standard field on the UCAS form, but instead a text box which can be
filled however the applicant choses. Therefore, applicants write their
predicted grade information in different formats and some do not fill it
in at all (instead sometimes putting their predictions within their
reference). When the format is not correct or the information appears
elsewhere within their applicant, this information is not stored as a
field within the University’s student record system.  This means that the
University would need to retrieve each application form, of those students
whose predicted grades are missing from the University’s student record
system, to manually extract the information to make it intelligible.

 

In addition, of those students whose predicted grades are within the
University’s student record system, the report has returned 3000 lines of
data for the two academic years. To answer your questions would involve
matching 3000 lines of data against 900 offers to determine whether each
applicant had predicted grades, which met their offer. This exercise would
clearly exceed the 18-hour costs limit.

 

Section 12(1) of the Freedom of Information Act states that a public
authority is not obliged to comply with a request for information if the
authority estimates that the cost of complying with the request would
exceed the appropriate limit.  This is currently £450, which equates to 18
hours of staff time calculated at £25 an hour as set out in the Freedom of
Information and Data Protection (Appropriate Limit and Fees) Regulations
2004.
