Emails to First Minister - 5

Dear Welsh Government,

Many thanks for your prompt response to my recent FOI request. I did not receive a disclosure document and ATISN number on this occasion so I cannot provide this information.

Outlook has a facility to search for specific text in emails.

However, it is the statement "The records kept may be stored in a large number of a different mailboxes" that interests me. As an IT professional for 30 years I am pretty sure that all emails sent to the FM's correspondence address will arrive at a central point before being distributed to the different mailboxes, and having the duplicates removed.

Please provide the following information:
1) Whether the distribution and deletion process is performed manually or automatically.
2) The rules used to perform this process showing exactly how individual emails are selected for onward forwarding to another mailbox, and how duplicate emails are identified. If the process is performed manually then I would hope that there would be a document that describes the process. If it is performed automatically then, presumably, this would be accomplished by defining rules in Outlook or elsewhere, of which even a partial screen shot, redacted if necessary, would suffice.

Never having ever had a reply to my own emails sent to the FM, and with yourselves unable to tell me how many emails the FM sees and how many replies are sent I am reluctantly convinced that the FM's email account is nothing but a black hole where emails disappear never to be seen (or replied to) again. I am more than happy to be convinced that that is not the case.

Yesterday I sent a test email to the FM's email address asking the recipient to reply with their department and which of the mailboxes it has appeared in.

Today I received an anonymous email from the FM's address telling me: "I can confirm receipt of this email. As this e-mail is processed it will be moved/deleted/forwarded depending on the content and action to be taken. It will not be kept in this mailbox (or indeed a single mailbox/location).".
