Dear Parliamentary and Health Service Ombudsman,

I have noticed that you now use the secure email service Egress Switch to respond to FOIA requests through the Whatdotheyknow website.

1. Please provide the names of all methods you have previously used to respond to information requests made through Whatdotheyknow.

2. Please confirm what formats apart from Egress Switch are available for you to use when responding to information requests made through Whatdotheyknow.

3. Please provide information – notes, emails etc – that explain why you have started using Egress Switch – a secure email service - to provide information which can lawfully be viewed by anyone.

4. Please provide a copy of all information available to FOI staff concerning the use of Egress Switch.

I write in response to your email of 11 April 2017 in which you requested information held by the Parliamentary and Health Service Ombudsman in the following terms:

1. Please provide the names of all methods you have previously used to respond to information requests made through Whatdotheyknow.

2. Please confirm what formats apart from Egress Switch are available for you to use when responding to information requests made through Whatdotheyknow.

1. Please provide the names of all methods you have previously used to respond to information requests made through Whatdotheyknow.

Our standard practice is to use Microsoft Outlook to email responses to information requests made through WhatdotheyKnow. However, on occasion responses to non-sensitive information requests have accidentally been marked as sensitive before sending these, which results in the information being delivered via Egress. However, this is only done in error and it is not our usual practice to send out responses to information requests made through Whatdotheyknow via Egress.

2. Please confirm what formats apart from Egress Switch are available for you to use when responding to information requests made through Whatdotheyknow.

Egress Switch is a secure email system. As mentioned above, we are able to use Outlook, without marking information as sensitive which is then sent without Egress Switch.

3. Please provide information – notes, emails etc – that explain why you have started using Egress Switch – a secure email service - to provide information which can lawfully be viewed by anyone.

We do not hold this information. Please see my response to Q1.

4. Please provide a copy of all information available to FOI staff concerning the use of Egress Switch.

Attached is the information about using Egress Switch which is issued to all staff – this guidance is also available to the FOI team.
