I would like any response to be made electronically and wherever possible in spreadsheet form.
This request aims to establish a detailed understanding of your organisation’s short-term loans activities over the past two years.
1. What information do you record and hold about short-term loan requests?
2. In 2017/2018 and 2018/2019, how many requests were made to you for short-term loans that resulted in a loan being made?
3. In 2017/2018 and 2018/2019 how many requests were made to you for short-term loans that the museum was unable to facilitate?
4. What direct activities do you undertake to facilitate loans? Eg. workshops, invitations to advice sessions etc.
5. Which were the organisations who made the successful requests? Please provide the name and address of each.
6. Which were the organisations who made the unsuccessful requests? Please provide the name and address of each.
7. Where the request for a loan was unsuccessful, please provide the reason for the corresponding organisation.
8. What is the anticipated timeline for loaned objects from initial enquiry to short-term loan?
9. Is there any guidance documentation available for organisations? If so, please provide a copy.

If you are only able to release some of the information I would ask that you release this data rather than withhold the entire set. If you would like more clarification on this issue do not hesitate to contact me using this site - as I would expect to be contacted should you need any clarification.

1. What information do you record and hold about short-term loan requests?: the loan request letter, name of requester, object(s) requested, date request received, if approved or declined and reason for decline.

ALL of the above information is recorded about short-term loan requests.

2. In 2017/2018 and 2018/2019, how many requests were made to you for short-term loans that resulted in a loan being made?

2017-18: 11
2018-19: 5

3. In 2017/2018 and 2018/2019 how many requests were made to you for short-term loans that the museum was unable to facilitate?

2017-18: 4
2018-19: 3

4. What direct activities do you undertake to facilitate loans? Eg. workshops, invitations to advice sessions etc.:

We attend information sessions for potential borrowers such as those run by the Art Fund and the Touring Exhibitions Group.
We answer enquiries from potential borrowers and share information at these sessions and via phone, email and in person.
Information for potential borrowers is provided on our website.

5. Which were the organisations who made the successful requests? Please provide the name and address of each.

We are unable to share this information as it may be commercially sensitive.

6. Which were the organisations who made the unsuccessful requests? Please provide the name and address of each.

We are unable to share this information as it may be commercially sensitive.

7. Where the request for a loan was unsuccessful, please provide the reason for the corresponding organisation:

request too short notice,
object already in use,
venue not suitable for the objects,
objects too fragile to travel .

8. What is the anticipated timeline for loaned objects from initial enquiry to short-term loan?

The shortest time is 6 months for domestic loans and 9 months for international loans.

9. Is there any guidance documentation available for organisations? If so, please provide a copy.

We have exempted some information in questions 5) and 6) as we believe this may be Commercially Sensitive (S43) to the potential borrower. If you wish to appeal against this decision, please let me know, and I shall organise a review.
