Dear Cardiff University,

I have a request regarding information on the universities dentistry school. All questions are for last years UCAS cycle.

1) How many of the students admitted were studying A Levels?
2) How many of the students admitted were international?
3) How many graduate students applied for the 5 year course?
4) How many graduate students applied for the graduate course?
5) How many of each category of students that I have mentioned above were:
i) Rejected pre interview
ii) Rejected post interview
iii) Given an offer

By each category, I am referring to the categories 'A Level students', 'international students', 'graduates applying to the 5 year course' and 'graduates applying for the graduate 4 year course'.

6) For each applicant, can I get their UKCAT score, their GCSE results, degree result or prediction, A Level results or prediction, pre interview score and interview score? If it is not possible to give all the data within the time limit of 18 hours or £450, I would ask the university give me a sample of randomised data such that the time and cost constraints are met.

7) I would also request for a copy of the interview form that the university uses to assess a candidate during the interview for the Dentistry course. This request is applicable for this years entry cycle and I would like the forms for interview for both the undergraduate and post graduate interviews.

8)I would also like to know what the selection process is when determining a candidates suitability for both the four year course and the five year course. If any form is used to assess this, I would also like a copy of this.

I hope that this is not too much trouble for the university and I hope they can meet my requests without too much trouble. If possible, I would like all data to be in an excel format or word or pdf format if possible.

I am writing in response to your Freedom of Information request dated 7th
November 2012 and subsequent clarification received by us on 12th November
2012 in which in which you requested information regarding DENTL
admissions stats.

Our responses to your questions are set out below.  As indicated in your
clarification your request relates to A200 - Bachelor of Dental Surgery
(BDS) for last years UCAS cycle (2011/12) and no response has been
provided to question 4.  We have replicated your questions and numbering
below for ease of reference.

For your information the University has two courses - a 5 year and a 6
year course.  The 5 year course is for those with a science background at
A level or equivalent and the 6 year course is for those who have not had
a science background - entry grade requirements are the same.  Cardiff
University does not  offer a graduate entry programme and graduates must
follow the full 5 years (or 6 years if non-science graduates)

6) For each applicant, can I get their UKCAT score, their GCSE results,
degree result or prediction, A Level results or prediction, pre interview
score and interview score? If it is not possible to give all the data
within the time limit of 18 hours or £450, I would ask the university give
me a sample of randomised data such that the time and cost constraints are
met.

I would advise that whilst some information is held in relation to
question 6 of your request, Cardiff University does not hold this
information in a format which would allow us to locate, retrieve and
extract it in less than 18 hours.

In particular, the University receives some data in relation to
qualifications and results via the UCAS applications system.
 Qualifications can be self declared by applicants on their initial
application or received as verified results from UCAS.  In addition to
this, the University's Registry may create verified qualification records
for qualifications where results are not conveyed by UCAS.  The self
declared qualification records created by the applicant are provided in
free text format and are not validated by UCAS.  This means that the
presentation of claimed qualifications can be highly variable.  Whilst the
University checks level 3 (A Level equivalent) qualifications used for
entry and creates validated (consistently coded) records, this is not the
case for claimed level 2 (GCSE equivalent) qualifications.

In addition the predicted grade field completed by applicants' referees is
also a free text field with no specified conventions for completion.  The
predicted grades are not linked to specific qualifications or subjects.  
As such these would have to be analysed and coded at individual level.

As information is recorded and held in different database tables, fields
and formats it would be necessary for the University to individually
review each applicant / student's records to be able to provide accurate
data regarding numbers of applicants / students who were studying A levels
and to obtain information regarding GCSE results, subject choices and
predicted results.  

Accordingly, the time involved in searching for, collating and providing
the information you have requested would exceed the time limit (18 hours)
allowed under the Freedom of Information and Data Protection (Appropriate
Limit and Fees) Regulations 2004.  Accordingly section 12(2) of the
Freedom of Information Act 2000 will apply.

Information regarding interview scores is recorded on a spreadsheet which
is not linked to the University's Student Information Management System
(SIMS). Whilst information regarding interview scores could be generated,
this would simply be an anonymised list of scores with no link to other
student data.  Please let us know if you would like us to produce such a
list.  A sample of a scoring spreadsheet is attached below (response to
Q7), and this includes some anonymised raw data to demonstrate how the
spreadsheet operates.

Again, whilst the University receives UKCAT information the scores are
recorded separately and are not held in a format where the information
could be linked to other information to provide a meaningful report.  The
information available could be provided in the form of an anonymised list
of scores for 2012 entry.  Please let us know whether you would like us to
produce such a list.
7) I would also request for a copy of the interview form that the
university uses to assess a candidate during the interview for the
Dentistry course. This request is applicable for this years entry cycle
and I would like the forms for interview for both the undergraduate and
post graduate interviews.

The School interviews through multiple mini interviews which involve
candidates undertaking 10 "stations" which are individually assessed and
the results collated on a scoring spreadsheet.

The stations are subject to change each year but we have attached the
stations used for 2012 together with the marking sheets.  A copy of the
scoring spreadsheet is also attached.

8)I would also like to know what the selection process is when determining
a candidates suitability for both the four year course and the five year
course. If any form is used to assess this, I would also like a copy of
this.

means and is exempt from disclosure under section 21 of the Freedom of
Information Act 2000.
