Please ensure that where you deem it necessary under s.40 of the Freedom of Information Act 2000 to redact personal data from email addresses that care is taken to only redact the personal data. For example, an email address that is a generic account (such as enquiry @ organisation.com) is unlikely to disclose personal data so should not be considered for redaction. Also, it would not normally be necessary to consider the domain name in the email address for redaction unless it contains personal data. For example, an email address such as j.smith @ organisation.com, should only have the first part of the address redacted. This can provide essential context to email chains.

If it is necessary for any reason to redact any information, please redact the minimum necessary and send me the rest of the material, explaining the legal grounds for each redaction.

Please provide the information by email in either Adobe Portable Document Format (pdf), Microsoft Word .docx or .doc format, Microsoft Excel .xlsx or .xls format, Microsoft Powerpoint .pptx or .ppt format, plain text format or, if appropriate, in the body of the email.

Please include all email attachments and enclosures. Information supplied in pdf format should be text searchable using Adobe Reader. All metadata for every original file held (created and modified dates, author, etc) should be included. All responses and documents must permit printing and content copying and must not be protected by a password.

This is not an onerous request, so I hope you will be able to respond well inside the 20 day time limit for responses to FOIA requests.
