Dear Cotswold District Council,

Please provide me with all communication (emails, written correspondence or phone-calls) between all Cotswold District Councillors and Council officers relating to the members register of interests process that was undertaken before and after the Chesterton outline planning application on September 26th 2017.

I'd particularly like to know about any correspondence between Councillors Tony Berry, Shaun Parsons and Nick Parsons pertaining to their declaration of their membership of the Cirencester Bull Club.

I refer to your FOI request; the holding response sent by Sarah Clemo this
morning; and to our recent telephone conversation.

 

As explained over the telephone, your request is being dealt
with/co-ordinated by myself, given that I was one of the key officers who
communicated with Members regarding interest declarations.  Unfortunately,
the deaths of two close family members in recent weeks has meant that I
have not been able to progress your request within the normal timeframe,
given that I have been out of the office for a number of days (including
at the time of your request submission, and the early part of this week). 
Sarah Clemo’s response to you earlier today was based on a belief that my
planned/potential absence was due to annual leave - she did not know that
it was in fact bereavement leave.

 

Insofar as progress is concerned, various officers were requested to
forward to me any correspondence relating to the subject matter of your
request, which they have done.  There are numerous documents, given the
time period involved; and there is duplication where officers have
received correspondence as copy recipients.  I am currently working my way
through the documents forwarded to me, and those that I ‘hold’, to ensure
that a complete set is produced to fulfil your request.

 

In the circumstances, and as discussed, I would request an extension of
time to provide a full response, until 29^th June.  However, I will ensure
that a response is sent earlier if at all possible.
