Corporate Estate Managing Maintenance
Dear Mole Valley District Council,
Please can you provide me with information concerning the maintenance of your corporate estate i.e. operational buildings, land and any other property (e.g. investment) and schools, if they are within your jurisdiction. Not any social housing/dwellings.
Q1. What type of maintenance management model does your organisation use? E.g. Managed supply-chain, single hard-fm & soft-fm contractor, internal workforce, principal contractor etc.
Q2. Can you provide a list of the approved contractors used?
Q3. What are the total values of contracts granted?
Q4. When do these contracts expire?
Q5. What services are provided in each contract?
Q6. What procurement method was used? E.g. Open ITT, Framework if so, which one?

From our preliminary assessment, it is clear that we will not be able to
answer your request without further clarification.
Your information request is very broad and asks for information that we do
not hold in a single retrievable format. Section 12 of the Freedom of
Information Act 2000 makes provision for public authorities to refuse
requests for information where the cost of dealing with them would exceed
the appropriate limit, which for this authority is set at £450.
We have a large number of “approved contractors”. Some are used for large
scale projects, others are very small and seldom used. In order to provide
you with the information for each approved contractor, on the scale that
you have requested, would require a manual review of each and every
contract to answer questions 3 - 6. We estimate that it will take us in
excess of the applicable time limit to determine the appropriate material
and locate, retrieve and extract the information in reference to your
request. Therefore, your request will not be processed further.
You may wish to refine your request by narrowing its scope or by being
more specific about what information you particularly wish to obtain,
including any dates or periods of time relevant to the information
required.
If you are dissatisfied with the handling of your request, you have the
right to ask for an internal review. Internal review requests should be
submitted within 40 working days of the date of receipt of the response to
your original letter and should be addressed to: Louise Bircher, Mole
Valley District Council, Pippbrook, Dorking, Surrey, RH4 1SJ.
If you are not content with the outcome of the internal review, you have
the right to apply directly to the Information Commissioner for a
