I am writing to make an open government request for all the information to which I am entitled under the Freedom of Information Act 2000.

In order to assist you with this request, I am outlining my query as specifically as possible.
Please can you provide information on the following:

1. Does your NHS Trust use a computer assisted facilities management system?
2. If no, are there ongoing plans to purchase a computer assisted facilities management system in the future?
3. What is the name of the computer assisted facilities management system (product name) and which company is it purchased from?
4. Provide brief information on the process in use at the NHS Trust to manage reactive and planned maintenance work including how this is recorded and scheduled.
5. Value of the current contract, date of commencement and date of expiry.
6. Who is responsible for ensuring the computer assisted facilities management system meets the NHS Trust’s requirements?

I would like the above information to be provided to me via email.

Thank you for your request for information under the requirements of the Freedom of Information Act 2000 which we received on 29 January 2019. Please accept my apologies for the delay in acknowledging your request. The information you have requested relates to the Facilities management system used by the Trust.

We will process your request, however we need the following information in order to do this.

Please clarify if you are requesting information on Facilities management or Estate management. These services are managed separately within the Trust. Facilities management will provide services such as cleaning, Estate management will be primarily concerned with the general fabric of the building and focus on repairs to the property. Questions 4 and 5 in your information request seem to relate to Estates while the remaining questions seem to refer to facilities.

Until we receive this information, we are unable to take your request any further and have stopped the 20 day response clock. Once we have your response we will restart the 20 day response and get back to you accordingly.

Whilst the ultimate users of the CAFM system would be the Facilities Management team within the Trust, we quite often see the "owners" of the software as the Estates team.

and your clarification received on 21 February. Following my email on 25
March 2019, thank you for your patience in the Trust responding to your
request and I offer my apologies for the delay in replying. However, I am
able to respond now and can confirm that the Trust holds the requested
information. Please find our response to your following request in blue.

 

1.       Does your NHS Trust use a computer assisted facilities management
system?

          Yes.

2.       If no, are there ongoing plans to purchase a computer assisted
facilities management system in the future?

          N/A.

3.       What is the name of the computer assisted facilities management
system (product name) and which company is it purchased from?

          FM First – Asckey Data Services Limited.

4.       Provide brief information on the process in use at the NHS Trust
to manage reactive and planned maintenance work including how this is
recorded and scheduled. 

          All estates jobs both reactive and scheduled compliance (PPM)
are recorded on FM First by a helpdesk operative and these are then issued
by the Estates Supervisor to the appropriate trade        operative.

5.       Value of the current contract, date of commencement and date of
expiry.

          The Annual cost is £ 15,775.00. It is due to expire on 31 March
2020.

6.       Who is responsible for ensuring the computer assisted facilities
management system meets the NHS Trust’s requirements?

          Phil Clark – Head of Estates.
