I am writing to make an open government request for all the information to which I am entitled under the Freedom of Information Act 2000.

In order to assist you with this request, I am outlining my query as specifically as possible.
Please can you provide information on the following:

1. Does your NHS Trust use a computer assisted facilities management system?
2. If no, are there ongoing plans to purchase a computer assisted facilities management system in the future?
3. What is the name of the computer assisted facilities management system (product name) and which company is it purchased from?
4. Provide brief information on the process in use at the NHS Trust to manage reactive and planned maintenance work including how this is recorded and scheduled.
5. Value of the current contract, date of commencement and date of expiry.
6. Who is responsible for ensuring the computer assisted facilities management system meets the NHS Trust’s requirements?

I would like the above information to be provided to me via email.

Response:

The Trust has now had the opportunity to fully consider your request and
responds as follows:

1.           Yes.

 

2.           Not applicable.

 

3.           MICAD.

 

4.         The Trust uses a CAFM system (Micad) to log and track all
reactive and planned maintenance activities. All Trust staff have access
to report equipment faults, Micad automatically e-mails a report back to
the reporter at each step of the repair, this report includes progress
reports input by the Estates staff providing accurate and relevant
information. All requests are received by the Estates Service Desk and are
allocated following appropriate guidance from an Estates Manager, to the
most suitable tradesperson based on skill and location. All Estates staff
have smart phones to receive, update and complete their activities, all
Estates vans are tracked to ensure responsiveness. Planned preventative
maintenance (PPM) is carried out in line with national guideline derived
from HTM’s, SFG20 and relevant British Standards etc. Reactive and Planned
response times and completion rates are constantly monitored and reports
prepared and submitted by the Head of Estates to various Trust Committees
and Groups and on an ad hoc basis when requested.

Maintenance is carried out using a blend of highly qualified in house
staff and specialist contractors.

 

 

5.            In April 18 for annual software license and support the
Trust paid £63,259.19 including VAT. A contract has been held since an
unknown date in 2011. The current contract expires 31/3/19 when the Trust
expects to renew for a further year.  

 

 

6.        Head of Estates.
