Dear Mr Thomas

Thank you for your correspondence of 14 May 2016 which contained a request
for information to the Information Commissioner's Office (ICO). We handled
your request in line with your rights under section 1 of the Freedom of
Information Act ( FOIA) and our response is below.

Our response
 
Please see attached pdf document and an explanation of the data provided
below. We have extracted this data from our electronic casework management
system to enable us to respond to your request. We predominantly use this
system to track and progress individual cases. We don’t use this data in
isolation to decide whether regulatory action is appropriate in any
particular case, but we might use it to help identify potential trends or
to see the size and progress of our caseload. The data provided reflects
the data on the date it was extracted and can be subject to change over
time.
 
Some cases may have more than one outcome, for example where we are given
additional evidence which requires us to reopen a case and revise our
view. However, all outcomes are recorded as related activities on a single
case. You will see that where this has occurred, the duplicate case
reference numbers are shown grouped together and in date order so that you
can identify which is the final outcome. I have also attached a pdf
document containing a list and brief description of the case outcomes we
use as this may be helpful.
 
The information provided covers the period from 1 April 2014 to 14 May
2016 (the date of your request). We only hold complete case records for a
period of 2 years from the date of the last activity on the case. This is
in line with our retention and disposal schedules.
 
I understand that by unresolved you mean cases that are currently open. I
can confirm that we currently have no open FOIA complaint cases about the
University of Southampton.
 
Finally you will see that two of the cases resulted in decision notices

Next steps
